Position Summary:

The Accounts Payable Specialist role plays a vital role in ensuring accurate financial reporting, strong vendor relationships, timely payments, and compliance with internal controls and regulatory requirements. Services are provided in accordance with the mission of Guardian Angels.

Job Duties:

• Review, verify, and process vendor invoices in a timely and accurate manner.
• Prepare and execute payment runs (checks, ACH, credit cards).
• Assist with cash flow management, including updating check registers and processing transfers.
• Ensure proper tax treatment of invoices and remit sales and use tax to the State of Minnesota.
• Serve as primary point of contact for vendors, maintaining accurate records and resolving inquiries and discrepancies.
• Manage vendor onboarding, including W-9 collection, verification, and system setup.
• Prepare and process annual 1099s, 1096s, 1042s, and related filings in accordance with IRS regulations.
• Uphold system security and fraud prevention through compliance with requirements, approval processes, and segregation of duties.
• Assist with month-end close activities, including accruals and account review.
• Support audits by providing necessary documentation and explanations.
• Utilize and optimize invoice automation systems to improve efficiency and accuracy.
• Process monthly invoices, cash receipts, and aging reports for managed entities.
• Uphold confidential information as required by Guardian Angels policy and procedure and as related to HIPAA.
• Uphold the mission, vision, and values of Guardian Angels.

Qualifications:

• Associate degree in accounting, finance, or related field required.
• 2+ Years of accounts payable experience.
• Proficiency in Microsoft Excel and experience working with accounting or ERP systems.
• Knowledge of sales and use tax and 1099 reporting requirements
• High level of accuracy and attention to detail.
• Strong organizational and time management skills.
• Exceptional communication and customer service skills.
