Construction Administrator, SFP CHN Housing Partners is a highly seasoned, nonprofit affordable housing developer, housing service provider and residential mortgage lender that works with its partners to solve major housing challenges for low‑income people and under‑served communities. Position Summary The Construction Administrator, under the direction of the Manager of Construction Administration, will oversee the in‑house, day‑to‑day construction administrative operations of single‑family home repair and rehabilitation projects within the Single‑Family Preservation (“SFP”). This role works as part of a team of administrators and is responsible for ensuring the construction administration needs of a variety of home repair and rehabilitation programs within the SFP department are met. Rate of pay: $29.80 per hour (FLSA Non‑Exempt). Essential Duties and Responsibilities Responsible for the day‑to‑day in‑house operations of the assigned program. Ensure project documents/file integrity. Learn and utilize construction management software, Salesforce, and other operational software and applications as needed. Issue subcontractor agreements/purchase orders. Coordinate work with key team members (including Construction and Pre‑Construction Managers, Construction Superintendents, Rehab and Repair Coordinators). Build out administrative systems and processes in coordination with the Manager of Construction Administration and Director of Construction Operations to increase productivity and project outcomes. Collaborate with internal leaders/stakeholders to ensure program clients’ needs are met. Schedule estimates and jobs. Schedule appointments for department personnel if necessary. Heavy email correspondence, printing, scanning and document retrieval. Coordinate with staff, third‑party professionals, subcontractors, vendors, inspectors, and clients to ensure that all parties are informed of project status. Review contracts for compliance with federal regulations, company policies, and industry standards, and prepare contracts for signature. Collect and appropriately store insurance certificates, W‑9s, workers’ comp certificates, and other compliance documentation from all partner trades and general contractors. Collect, process, and assemble third‑party contractor applications for payment and supporting documentation for timely payment (including lien waiver documentation and line‑item draw requests). Coordinate with Finance and Accounts Payable staff to timely process and post payment requests to third‑party contractors. Track and confirm job status within construction management software. Other duties as assigned. Education and Experience Requirements Strong attention to detail. Must have strong computer skills. Proficiency in Word and Excel a must. Ability to learn new programs and processes. Must be organized – heavy follow‑up interactions. 4+ years in a similar field. Previous construction experience preferred. Skills and Competencies Demonstrated ability to serve and work with a diverse population. Can provide clear and concise instructions. Clear communication skills. Conflict resolution. Delegation. Ability to coordinate across multiple programs with internal and external partners. Bi‑lingual (preferred). Working Conditions and Physical Requirements Ability to perform essential job functions consistent with ADA, FMLA, and other standards.
