Summary The Supervisor for Medical Support Assistants is located in the Outpatient Care Clinics and in support of the VHA Patient Aligned Care Team (PACT) initiative. Provides support to Primary Care, Specialty Care and Mental Health Outpatient Clinics. The position is located at multiple sites within Eastern Colorado Health Care System: Denver, Aurora, Golden, Colorado Springs, Pueblo, Alamosa, Burlington, La Junta and Salida. Responsibilities The Supervisory MSA at this level coordinates MSA staffing coverage for the Outpatient Care Clinics PACT team lets, Mental Health Service, and Specialty Services. Assignments at this level include, but are not limited to: Assigning and evaluating the work of subordinate staff. Resolving complex problems to ensure patient services are met. Evaluate new products, equipment, and systems in order to make recommendations for improved operations. Identifying educational or training needs. Serves as a selecting official to fill FTE. Evaluating performance, addresses performance & conduct issues, and takes disciplinary action when necessary. The MSA Supervisor has full administrative and professional responsibility for planning and directing the MSA's activities. Responsible for extracting and analyzing data to provide reports in support of performance measures to senior management. Manage position responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs. Work Schedule: Permanent 8:00 a.m. to 4:30 p.m. Pay: Competitive salary and regular salary increases When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade). Grade Determinations: Supervisor Medical Support Assistant, GS-8: One year of experience at or equivalent to the next lower grade level GS-7. In addition to the Basic Requirements defined above, the incumbent must demonstrate the following KSAs: Experience: One year of creditable experience equivalent to the GS-7 level. (Creating daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; determining training needs of MSAs to provide support across interdisciplinary settings; assisting with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources; ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; creating and maintaining employee work schedules; and acting as a liaison among Advanced MSA level staff, patients, and other interdisciplinary staff to resolve day-to-day conflicts. AND KNOWLEDGE, SKILLS, AND ABILITIES (KSAs): In addition to meeting the experience above, the candidate must demonstrate the following KSAs: Ability to provide the full range of administrative and supervisory duties [to at least one subordinate MSA Supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training [in a patient support setting]. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced Knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. Physical Requirements: The work performed is predominately clerical in nature and requires no special physical standards. The work is usually performed in an office setting, working with others and/or alone.
