Project Assistant Job Description

Description:

This is a full-time position. Typical days and hours of work are Monday through Friday 9:00 a.m. to 5:00 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 5:00 p.m. and must work 35.0 hours each week to maintain full-time status.

Perform duties relating to Estate Planning and Wealth Management Group:

• Printing, organizing and filing emails.
• Filing emails and scanned documents into the appropriate Filesite location.
• Copying and scanning signed estate planning documents.
• Preparing and/or updating estate planning binders.
• File organization for files to be sent offsite or to new counsel.
• Maintaining the list of executed trusts and trust amendments.
• Printing documents received from clients and outside sources using software media.
• Serving as a witness at estate plan signings.
• Perform other duties reasonably associated with an Office Services File Clerk position.

Perform duties relating to Other Firm Practice Groups:

• Place files in jackets on shelves and in drawers as necessary and relocate files for space requirements.
• Use appropriate firm software to assist in location of files.
• Assist with completing in-house copying and binding jobs.
• Open switchboard if Receptionist is not available and provide reception relief when necessary (TBD).
• Perform all other duties reasonably associated with an Office Services File Clerk position.

Qualifications/Requirements:

• High School Graduate or equivalent required; 2-year Associates degree a plus.
• 1 to 2 years Law Firm experience preferred.
• Proficiency in MS Office and Outlook, with special proficiency in records management and conflicts check related software.
• Proficient knowledge of scanning software.
• Good command of the English language, oral and written.
• Must be punctual.
• Must be able to classify documents, correspondence, pleadings, attorney notes, and drafts.
• Must be able to work independently with limited supervision.
• Must be accurate, with a strong attention to detail.
• Must be able to work in fast-paced environment within project time constraints.

Compensation: $40,000–$55,000 based on experience.
