Proposal Coordinator

Support the development of complex, multi-disciplinary proposals and statements of qualifications (SOQs) Coordinate proposal preparation, development, and layout from kickoff through final delivery Format documents and ensure brand compliance and proposal consistency Ensure proposals meet compliance requirements and align with evaluation criteria Manage content development with marketing, technical staff, and leadership input Manage proposal schedules and pursuit checklists Facilitate proposal kickoff and milestone meetings Support QA/QC processes for high-quality, error-free deliverables Maintain and update proposal databases, libraries, boilerplate material, and templates Conduct research and gather information from internal teams Track and manage multiple deadlines, prioritizing tasks based on project needs Contribute to proposal process improvements and content updates Requirements Bachelor’s degree in English, Communications, Marketing, or related field preferred 4+ years of experience in a proposal coordination role, preferably in the AEC industry Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat Strong writing, editing, and proofreading skills Excellent organizational skills and ability to manage multiple concurrent deadlines Ability to collaborate with technical and non-technical staff Availability Monday–Friday, 8am–5pm, with overtime as needed Core Competencies Demonstrates expertise in proposal coordination, ensuring compliance with evaluation criteria and brand standards while managing multiple deadlines.
