Billing Specialist- Legal

We are seeking a detail-oriented and experienced Billing Specialist to join our growing team. This position plays a critical role in the firm's financial operations by managing the billing process from pre-bill review through invoice submission and payment follow-up. The Billing Specialist will work closely with attorneys, paralegals, clients, and insurance carriers to ensure invoices are accurate, timely, and compliant with client-specific billing requirements. The ideal candidate will have prior legal billing experience, with a strong preference for candidates who have worked in insurance defense and are familiar with carrier billing guidelines, litigation billing practices, and electronic billing platforms. Prepare, review, edit, and process attorney billing accurately and efficiently. Generate, review, and distribute monthly client invoices. Analyze and edit pre-bills for accuracy, including time entries, expenses, billing rates, and narrative descriptions. Collaborate with attorneys and legal staff to resolve billing questions and ensure compliance with client billing requirements. Process approved write-offs, write-downs, transfers, and billing adjustments. Monitor billing cycles and ensure invoices are submitted within established deadlines. Manage insurance carrier billing and ensure compliance with carrier-specific billing guidelines and litigation management protocols. Submit invoices through electronic billing platforms and resolve submission errors, reductions, and rejections. Monitor invoice status and proactively follow up on outstanding billing issues. Research and appeal invoice reductions and rejections when appropriate. Maintain accurate billing records and electronic documentation. Assist with reporting, audits, and other accounting and finance-related projects as needed. Billing Specialist Qualifications: High school diploma or equivalent. Minimum of 2 years of billing experience in a legal, insurance, or professional services environment. Proficiency with Microsoft Office Suite, including advanced Microsoft Excel skills. Exceptional attention to detail and accuracy. Strong organizational, analytical, and problem-solving abilities. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
