HR & Compliance Operations Coordinator

One Oak Advisory Group LLC

Responsibilities Support the HR and Talent teams with day-to-day administrative and operational tasks. Respond to employee, candidate, and internal team emails on behalf of the Talent team, as needed. Assist with employee benefits enrollment and help coordinate between employees, HR software, benefit providers, and 401(k) providers. Maintain accurate employee and benefits-related records in the HR system. Serve as a point of coordination between HR, Compliance, Operations, Accounting, benefit vendors, and external agencies. Assist with obtaining, tracking, and renewing required short-term vacation rental licenses, permits, and registrations from state, county, city, and other applicable departments. Track compliance requirements, renewal deadlines, required documentation, and submission status. Collaborate with the unit onboarding team to ensure proper tax setup, required paperwork, and compliance documentation are completed for new units. Organize and maintain records related to benefits, licenses, permits, tax documents, and onboarding paperwork. Support special projects related to HR operations, compliance, licensing, and process improvement. Highly organized and detail-oriented, with the ability to multitask effectively, manage competing priorities, and keep deadlines, documentation, and follow-ups on track across HR, compliance, licensing, benefits, and onboarding functions. Qualifications Prior experience in HR operations, compliance administration, talent coordination, benefits administration, or a related administrative role. Strong written and verbal communication skills, with the ability to respond professionally on behalf of a team. Experience working with HR software, benefits platforms, vendor portals, or employee record systems preferred. Familiarity with benefits enrollment, 401(k) coordination, or employee benefits administration is a plus. Strong attention to detail and ability to manage deadlines, renewals, documentation, and follow-ups. Highly organized and able to manage multiple priorities across HR, compliance, licensing, and onboarding. Comfortable communicating with internal teams, vendors, benefit providers, and government agencies. Ability to handle confidential employee and company information with professionalism and discretion. Experience with short-term rental licensing, permits, tax registrations, or property/unit onboarding is a strong plus.
