Construction Administrator

Construction Administrator We are seeking a detail-oriented Construction Administrator to support project delivery across architectural and construction teams. The Construction Administrator will manage contract documentation, maintain project records, coordinate between design and construction stakeholders, and support project administration tasks to ensure projects are delivered on time, on budget, and in compliance with contractual and regulatory requirements. Key Responsibilities Manage and maintain project documentation, including contract documents, change orders, RFIs, submittals, meeting minutes, and closeout records. Coordinate with architects, engineers, contractors, and owners to facilitate clear communication and timely resolution of project issues. Prepare, review, and distribute contract documents and correspondence; track contract milestones and deliverables. Administer project workflows within project management systems (e.g., Newforma), ensuring accurate version control and file organization. Support the preparation and negotiation of contract amendments, scope changes, and progress payment applications. Schedule and coordinate project meetings, site visits, and coordination sessions; document and circulate meeting outcomes and action items. Monitor compliance with contract terms, project schedules, and quality standards; elevate risks and propose corrective actions. Assist in preparation of project reports, closeout packages, and as-built documentation. Maintain a master log of project communications and ensure timely responses to RFIs, submittals, and contractor inquiries. Qualifications Bachelors degree in Construction Management, Architecture, Engineering, or related field, or equivalent experience. 2+ years of experience in construction administration, architectural firm operations, or construction management preferred. Familiarity with AIA contract documents and standard contract language; experience administering contracts and change orders. Proficiency with project information management platforms such as Newforma or similar systems. Strong understanding of construction processes, document control, submittal and RFI workflows, and project closeout procedures. Excellent written and verbal communication skills; ability to prepare clear reports, minutes, and contract correspondence. Detail-oriented with strong organizational skills, ability to manage multiple projects and deadlines. Experience working with architects, engineers, and contractors; knowledge of architectural drawing conventions and specifications is a plus. Proficiency with Microsoft Office suite; experience with project scheduling and cost tracking tools is advantageous.
