Human Resources ManagerA busy medical practice with three doctors is looking for a detailed oriented, multi-tasking Human Resources Manager for a staff of twenty employees.The Human Resources Specialist is required to maintain a cell phone/blackberry in order to have access to voicemail and email.Responsibilities:Maintain office servicesDesigns and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.Organize office operations and proceduresSupervise office staffMonitor phone callsReview and Control correspondence sent from our officeReview and approve supply requisitionsLiaise with other agencies, organizations and groupsUpdate organizational membershipsMaintain office equipmentDesigning filing systemsSchedule business and marketing meetings to improve the practiceManage and review timesheetsPreparing payrollPrepare weekly deposit slips for incoming paymentsMaintain licenses and credentialingSupervise office staff:Assign and monitor clerical and secretarial functionsRecruit and select office staffOrient and train employeesProvide on the job and other training opportunitiesConduct random audits of clinic operations, staff procedures, and protocol.Manage late, leave early, OT slips signed, time off and vacation slips and place on calendar.Planning and monitoring day to day operations of the officeAppraising job resultsCoaching and disciplining staffConduct Monthly Staff MeetingsMaintain office records:Design filing systemsEnsure filing systems are maintained and up to dateDefine procedures for record retentionEnsure protection and security of files and recordsEnsure effective transfer of files and recordsTransfer and dispose records according to retention schedules and policiesEnsure personnel files are up to date and secureMaintain office efficiency:Plan and implement office systems, layout and equipment procurementMaintain and replenish inventoryCheck stock to determine inventory levelsAnticipate needed suppliesVerify receipt of supplyPerform other related duties as required.Knowledge, Skills and Abilities:The Human Resources Specialist must have proficient knowledge in the following areas:knowledge of office administrationknowledge of human resource management and supervisionability to maintain a high level of accuracy in preparing and entering informationThe Human Resources Specialist must demonstrate the following skills:excellent interpersonal skillsteam building skillsanalytical and problem solving skillsdecision making skillseffective verbal and listening communications skillsattention to detail and high level of accuracyvery effective organizational skillseffective written communications skillscomputer skills including the spreadsheet and word-processing programs, and e-mail at a highly proficient levelstress management skillstime management skillsPersonal Attributes:be honest and trustworthybe respectfulpossess cultural awareness and sensitivitybe flexibledemonstrate sound work ethicsWorking Conditions:Physical Demands:The Human Resources Specialist will spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Human Resources Specialist is faced with constant interruptions and must meet with others on a regular basis.Sensory Demands:The Human Resources Specialist must spend long hours in intense concentration.
