Physician Office Specialist

Job Overview Provides receptionist/clerical support assuring patient flow, comfort, and satisfaction. Primary responsibilities include answering phones, directing calls, scheduling appointments in EMR, data entry, insurance verification, and support to staff. Responsibilities and Duties 70% Receptionist Responsibilities Greets patients, initiates paperwork, completes registration, verifies insurance, collects co‑payments, establishes payment plans, and ensures accurate information in the systems. Handles electronic and manual insurance verification and processing, obtains pre‑authorization when necessary, and interacts with physician offices and third parties to obtain required documents. Updates patient charts electronically or on paper, obtains necessary signatures, files paperwork, and notifies clinical associates of patient arrival. Answers a multi‑line phone system, screens calls, directs to the correct office associate, and ensures phone coverage using a computerized system. Provides general office and clerical support as assigned by the supervisor/manager, including faxing documentation, completing disability and FMLA forms, attorney request letters, patient record releases, and industrial claim forms. Works industrial claims in the EMR system, attaching dictation, adding diagnosis allowances, and entering authorization numbers. Assists in keeping patient charts organized and filed, including scanning and uploading information into EMR. Attends staff meetings. Attends continuing in‑house education seminars as required. 30% Organizational/Office Responsibilities Sorts, distributes, and mails transcription as assigned. Orders and stocks office supplies. Ensures office equipment is clean and well‑maintained. Provides support to staff as assigned. Qualifications High School Diploma or GED (Required). 1–2 years of secretarial experience in health care or a medical office, or equivalent experience and training. Strong computer skills and familiarity with EMR and telephone systems. Excellent customer service, communication, organization, and motivation. Work Shift Day schedule, 40 hours weekly.
