Summary of Position :

The Manager, Operations will provide hands-on operational support to the Engagement, Growth, and Partnerships (EGP) team by maintaining and improving the systems, processes, and tools used for programs, business development, partner agreements, reporting, and revenue-generating activity.

This role will support consistent use of Salesforce and other shared systems by maintaining data, preparing reports, documenting workflows, coordinating onboarding, and helping deliver staff training. The Manager will maintain practical processes across program operations, proposal development, partner agreements, and cross-team coordination. Working under the direction of the Associate Vice President and in collaboration with Finance, Communications, program teams, and Centers, this individual will help staff access the tools, guidance, and information needed to execute effectively.

This position is located in Washington D.C. and Meridian requires MD, DC, or VA residence for all employees. The position may work partially remotely until further notice.

Requirements:

Position Responsibilities :

Business Systems, Reporting & Salesforce Coordination

• Maintain EGP’s use of Salesforce as a business development, program tracking, and relationship management tool by supporting consistent data entry, practical workflows, and staff adoption
• Prepare and update reports, dashboards, and trackers that help teams understand pipeline activity, partner engagement, deliverables, next steps, and data quality
• Maintain documentation, user guides, and standard operating procedures for Salesforce and other shared systems
• Identify data gaps, reporting needs, or system issues and elevate technical questions to Salesforce super users, consultants, IT, or external vendors as appropriate

Onboarding, Training & Team Enablement

• Coordinate onboarding for new EGP staff, including maintaining plans, checklists, training schedules, materials, and team resources
• Serve as a resource for new team members as they learn EGP systems, workflows, expectations, team norms, and shared tools
• Deliver practical Salesforce training and refreshers for new and existing staff using established guidance and best practices
• Gather staff feedback and recommend updates to EGP processes, templates, trackers, documentation, and workflows

Business Development Operations & Proposal Support

• Support EGP business development by maintaining templates, trackers, shared resources, and centralized repositories for proposal language, organizational documents, qualifications, partner information, and related materials
• Coordinate proposal development, letters of interest, partner outreach, submissions, reporting, follow-up, and customized materials for corporate, foundation, and other non-USG partners
• Manage the day-to-day State Charitable Registration process, including tracking requirements, coordinating internal inputs, maintaining documentation, monitoring deadlines, and escalating issues as needed
• Prepare structured updates that help staff understand business development status, priorities, and next steps

Program Operations & Process Improvement

• Maintain processes that support program planning, implementation, partner coordination, deliverable tracking, and internal accountability
• Work with program teams and Centers to document workflows, strengthen information sharing, and reduce duplication across teams
• Create and update standard operating procedures, templates, trackers, shared folders, and team resources
• Track action items, operational decisions, and process updates to support timely execution across EGP

Agreements, Finance Coordination & Cross-Team Systems

• Coordinate the drafting, review, tracking, and filing of MOUs, scopes of work, contracts, partner agreements, and related documentation for non-USG revenue
• Work with Finance to maintain templates and support processes for budgets, agreements, revenue tracking, partner documentation, and related internal coordination
• Coordinate with Communications, EGP, Finance, and Center teams on partner visibility, event-related materials, proposal assets, shared content needs, timelines, and deliverables
• Complete organizational administrative responsibilities in a timely manner, meet organizational deadlines, and perform other duties as assigned

Education/Experience:

• Bachelor’s degree in international relations, business, nonprofit management, public administration, or another related field preferred
• 4+ years of related experience in operations, project coordination, business development support, nonprofit administration, CRM use, or related fields
• Experience supporting program operations, proposal development, partner agreements, budget coordination, or cross-functional projects preferred
• Experience using Salesforce or a similar CRM preferred; ability to prepare reports and help colleagues use shared systems effectively
• Or any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position

Knowledge, Skills, Abilities:

• Strong project coordination, organization, and process improvement skills
• Detail-oriented with reliable follow-through and a commitment to data accuracy
• Ability to manage multiple priorities, timelines, stakeholders, and deliverables with appropriate guidance
• Strong written and verbal communication skills, including the ability to prepare clear guidance, updates, and process documentation
• Ability to understand business needs and translate them into practical workflows, reports, and tools
• Collaborative and diplomatic approach, with the ability to work effectively across teams and with colleagues at different levels
• Familiarity with data governance, compliance, or nonprofit business development practices preferred
• Strong intercultural communication skills, cultural sensitivity, and tact suitable for working with individuals from around the world

Technical Requirements:

• Proficiency in Microsoft Office, including Word, Excel and PowerPoint, Outlook and Teams is necessary for this role
• Experience with SharePoint, Canva, Zoom, or similar collaboration, documentation, and knowledge management tools preferred
