Position Overview The Project Management & A&R Coordinator is responsible for two core functions at Nvak Collective: Securing new clients for Nvak’s Artist Services arm through consistent outreach, calls, and proposals, and Owning client‑facing project management and revenue growth for assigned clients , ensuring strong execution, renewals, and identification of additional revenue opportunities aligned with each artist’s goals. This role combines sales, relationship management, and operational execution. Success is driven by the ability to manage client relationships holistically—delivering value, identifying expansion opportunities, and supporting long‑term revenue growth. This role is ideal for someone who is highly organized, comfortable in client‑facing conversations, and thrives in a fast‑moving environment where clear communication and strong follow‑up are everything. Client Acquisition Book and lead introductory meetings with prospective artists to understand goals, assess fit, and pitch Nvak’s services. Draft and send tailored call summaries and custom proposals aligned to each artist’s needs, including scope, timelines, and pricing options. Maintain and actively manage a sales pipeline (lead status, follow‑ups, next steps, close dates) in a shared tracker. Consistently follow up with warm leads to drive proposal conversion and monthly revenue goals (target: $3,750+ in new clients secured per month). Client‑Facing Project Management Serve as the primary point of contact for assigned Artist Services clients, ensuring a high‑quality, responsive client experience. Ensure Nvak team agendas are prepared and up to date for scheduled client calls (day‑of readiness). Own day‑to‑day project coordination across Nvak team members and the artist, keeping workstreams moving and deadlines met. Build and maintain project plans per client (checklists, project blueprints, meeting cadence, next steps, etc.). Send same‑day meeting recap emails after every client call, including: Key decisions, Action items, Owners and deadlines. Track action items daily and follow up with internal team members and clients to ensure completion. On‑call to address and resolve any issues or concerns that arise during the artist’s project and partnership with Nvak. Troubleshoot issues proactively and resolve routine problems independently; elevate to leadership when needed with clear context and proposed solutions. Revenue Ownership Within Client Relationships Identify opportunities for add‑ons, scope expansions, or upsells within existing client terms based on artist needs, project progress, and strategic fit. Proactively oversee client renewals, including preparing renewal recommendations, timelines, and updated scopes in coordination with leadership. Identify and surface artist revenue opportunities where Nvak may provide support and earn commission or fees, including but not limited to: Merch launches or shop optimization PRO, Label, or Distribution advances Writer or Producer Session Fees Brand Partnerships Sync opportunities Live Shows Prepare internal recommendations outlining revenue opportunities, expected outcomes, and next steps for leadership review. Support execution of approved revenue initiatives by coordinating timelines, materials, and communication between Nvak, artists, and external partners. A&R Find new songwriters and producers who have potential to work with our roster. Share those finds with the internal A&R team. Curate and set up sessions between your artists and outside songwriters and producers. Be main point of contact in session coordination: make sure emails are sent out and sessions are confirmed between all parties. Send Zoom links on all sessions you are planning. Send reminders of sessions on the day the sessions are occurring. Follow up the same day for day‑of demos. Organize artists A&R trackers and provide A&R feedback in a timely manner. Add new demos to your artist’s Internal Project Notes Doc up‑to‑date. Constantly update and get feedback from internal team members. Create playlists with lyrics via DISCO link. You must always have lyrics accompanying the songs. Plan writing camps when necessary. Artist Support (Assigned Clients Only) Provide administrative and logistical support required to execute the agreed Artist Services scope for assigned clients. Sync Outreach and Follow Up Help Nvak and Nvak artists generate revenue by way of sync licensing. Keep track of and edit our music supervisor tracker weekly. Keep track of all projects key music supervisors are working on and email said supervisors about artists on our various rosters. Do weekly research on what new projects these supervisors are working on. Take in‑person meetings with music supervisors to create stronger relationships between us and them. Create individualized playlists for certain projects / supervisors. Follow up weekly on emails that have been sent.
