Office Manager

We’re looking for an experienced Office Manager who thrives in a fast-paced, creative environment. This role is the backbone of our day-to-day operations—keeping the office running smoothly while supporting production needs, team logistics, client coordination, and executive support. Key Responsibilities Office & Operations Management Oversee daily office operations and maintain an organized, efficient workspace Manage supplies, vendors, and general office needs Purchase and stock monthly office snacks, beverages, and supplies Set up and manage employee emails, accounts, and onboarding logistics Maintain internal systems, files, and documentation Prepare and track expense reports, receipts, and budget allocations Executive Support Assist CEO with day-to-day scheduling, calendar management, and priorities Coordinate meetings, calls, and internal/external appointments Anticipate needs and provide proactive administrative support Client Communication & Coordination Answer incoming calls and direct inquiries appropriately Send out consultation information and coordinate scheduling Follow up with leads and clients ahead of scheduled consults Ensure a smooth and professional first point of contact for all inquiries Production Support Scout and coordinate locations for photo and video shoots Source and coordinate models/talent for content production Assist with shoot planning and logistics as needed Inventory & Equipment Management Organize and maintain production equipment and storage closets Track inventory and ensure all gear is accounted for and ready for use Manage prop organization, sourcing, and purchasing Purchasing & Coordination Purchase props, supplies, and production materials within budget Coordinate deliveries, pickups, and returns Assist with vendor communication and order tracking Qualifications Minimum 5 years of experience in office management, operations, or a similar role Experience in a creative, marketing, or production environment is a plus Strong organizational and multitasking skills Excellent communication and client-facing skills Proactive, resourceful, and detail-oriented Ability to work independently and manage multiple priorities #J-18808-Ljbffr
