Lead Operations Manager & CRM Specialist

Position Overview:
We are seeking a highly tech-savvy, proactive Virtual Assistant to take 100% ownership of our real estate CRM, lead management systems, and marketing integrations. You will be the mastermind behind our database hygiene, lead routing, and automation strategy.
This is a role for a true self-starter. You must be comfortable with ambiguity and possess a strong drive to independently research, test, and deploy new technologies. We will provide the strategic direction; you will provide the technical execution.
Key Responsibilities:
CRM Architecture & Management: Serve as the absolute gatekeeper and expert of Follow Up Boss. Maintain database hygiene, manage tags, organize smart lists, and ensure no lead is ever left behind.
System Integration & Automation: Connect incoming leads from Meta, Google, and YouTube ads into FUB. Build, test, and optimize automated Action Plans, drip campaigns, and text tracks.
Omnichannel Lead Flow Optimization: Organize and sync diverse lead sources—including live cold callers, AI voice dialers, and AI text bots—ensuring a seamless handoff between automated nurturing and live agents.
Independent Research & Implementation: Take ownership of learning new programs as our tech stack expands. You will watch tutorials, attend software webinars, and troubleshoot integrations independently.
Agent Training & Empowerment: Create simple SOPs (Standard Operating Procedures) and conduct short training sessions to teach our live sales agents how to properly utilize the CRM and follow lead flows.
Strategic Recommendations: Analyze system performance and proactively make data-driven recommendations to leadership on how to improve conversion rates and streamline tech costs.
Qualifications & Requirements:
Must-Have: Minimum 1–2 years of hands-on experience managing and optimizing Follow Up Boss in a real estate environment.
Tech-Savvy DNA: You learn new software effortlessly. Experience with Zapier, ManyChat, real estate dialers, or AI conversational tools is highly preferred.
The "Figure-It-Out" Factor: Exceptional problem-solving skills. When a system breaks or a new tool is introduced, your first instinct is to Google, research, and test until you find the solution.
Process-Oriented: A passion for organization, clean data, and structured workflows.
Communication: Excellent written and spoken English, with the ability to explain technical concepts simply to sales agents.
Reliability: High-speed internet, a reliable computer, a quiet workspace, and a backup power solution.
