Note on Working Time
This position must be available to work standard GT business hours M-F, 8-5 (or 7-4 or 9-6), as well as some evenings as weekends based on student programs and with advanced notice. Job SummaryPlan, organize and manage the financial functions of a college or other business unit. May oversee human resources and facilities operations. Responsible for setting employee and/or group goals, deciding on organizational structure to meet the goals, assessing employee and/or group performance and providing feedback, and making pay recommendations. This position will interact on a consistent basis with: Institute financial management, unit management, vendors, contractors and auditors. This position typically will advise and counsel unit management. This position will supervise: unit financial/administrative supervisors and staff.
Responsibilities Job Duty 1 -
Advise unit management of financial implications associate with strategic and operational decisions.
Plan, organize and manage day-to-day accounting and finance related activities for the unit including monitoring of financial supervisory and staff performance; may manage collections activities and cash disbursements. Job Duty 3 -
Oversee the compilation and production of financial analyses, reports and schedules. Job Duty 4 -
Administer unit budgets including monitor and reporting. Job Duty 5 -
Interpret and ensure adherence with Institute financial policies. Job Duty 6 -
May supervise and review the design and maintenance of cost-recovery systems for sponsored research. Job Duty 7 -
Coordinate unit interaction with external auditors.
Job Duty 8 -
Monitor and ensure compliance with applicable financial related regulations.
May direct unit's administrative functions to include facilities support and human resources support.
Job Duty 10 -
Perform other duties as assigned
Educational Requirements
Bachelor's Degree in Accounting, Finance, Business or related field or equivalent combination of education and experience

EDUCATION, SPECIALIZED KNOWLEDGE, AND EXPERIENCE:
- Preferred Education: MBA or master's degree in a relevant field (Human Resources or HR Management, IO Psychology, Higher Ed Administration, etc.)
- Preferred Experience: Six to eight years of related job experience, with at least 3 years of professional experience at an Assistant Director or higher-level position focused on HR/Finance/Administrative Support
- Familiarity with emerging AI-enabled tools and their application in HR operations, including process efficiency, documentation, and decision support.
- Strong experience in people and team management
- Certifications or licenses, and system knowledge preferred:
- OneUSG Connect and other HR systems
- Workday Financial and/or other financial systems
- Advanced knowledge of Microsoft office suite (Excel, Word, PowerPoint)
- Advanced skills in MS Outlook or similar calendar/scheduling system
- SHRM
SPECIALIZED SKILLS:
This job requires working knowledge of a broad range of office management functions and processes, including those related to accounting records, human resources, facilities management, records management, and related areas. Use of office-related computer applications and systems is required.

Strong knowledge of HR policies, processes, including students, classified staff, and faculty (generally, non-tenure track).

Experience supervising and supporting the professional development of staff who work in operational and administrative roles.

Job Grade: A12
Salary Range: $100,000 to $120,000, annual. Salary will be commensurate with experience and education.

Knowledge, Skills, & Abilities SKILLS
This job requires advanced expertise in the application of accounting principles and practices including Generally Accepted Accounting Principles (GAAP), Federal Acquisition Regulations (FAR), and Cost Accounting Standards (CAS); especially as they apply in a research university environment. This includes proficiency in use and management of financial related software systems as well as leadership, organization and communications skills.

This position reports to the Associate Vice Provost for Undergraduate Operations and leads business/finance, HR administration, facilities, and other administrative operations across OUESS and its reporting units. The role is central to implementing and sustaining a centralized administrative model, including supervision and coordination of administrative staff across the division to ensure consistency, accuracy, and operational efficiency.
Primary responsibilities include HR processes and transactions (with a strong emphasis on accuracy, compliance, and timeliness); administrative policies and procedures; budget coordination and financial operations; facilities coordination across OUESS spaces; student employment; travel and professional development administration; procurement; and day-to-day operational support. The position serves as the primary OUESS liaison to the Office of the Provost HR team and the Office of Faculty Affairs on transactional HR and faculty affairs matters. This position also works closely with the Office of the Provost Finance team on budget management and other financial matters.
The role chairs or serves on OUESS administrative committees and provides direct and indirect supervision of administrative staff within a centralized reporting structure. The position represents the Associate Vice Provost for Undergraduate Operations in meetings and on committees as needed.

They bring excellent organizational skills, sound judgment, and the ability to manage complex, high-volume work in a dynamic environment.
