Support Coordinator III - Ambulatory Float Pool - Full Time 8 Hour Days (Non-Exempt) (Non-Union)

Overview Support Coordinator III is a senior-level role within USC’s Ambulatory Clinic, responsible for ensuring smooth outpatient flow and high patient satisfaction. The position manages a broad range of duties from patient intake, scheduling, insurance verification, and chart preparation, to coordinating surgeries, diagnostic testing, and post‑operative follow‑up. Responsibilities Prepare clinic charts and charge tickets, and verify insurance benefits for each patient visit. Schedule and coordinate appointments for evaluations, surgeries, labs, diagnostic testing, and consultations, ensuring timely patient and physician needs are met. Obtain and manage telephone and electronic communications, including answering calls, responding to emails, and distributing messages to medical personnel. Process new referrals, obtain required outside medical records, secure authorizations, and maintain demographic data in the computer system. Control patient financial risk assessments and provide liability estimates, coordinating with financial counselors for complex coverage issues. Maintain accurate filing of supporting documentation for billing and adhere to all confidentiality policies. Act as the primary contact for patients and caregivers, providing guidance on scheduling, paperwork, and follow‑up care. Cover for colleagues during sick leave, vacation, or other absences, and maintain open communication with management. Assist with the onboarding and training of new staff, participate in quality assurance projects, auditing, and process improvement initiatives. Perform additional duties as assigned to support clinic operations and patient care. Required Qualifications High school diploma or equivalent. Demonstrated mastery in customer service, intake and scheduling. Proven experience handling insurance billing, admitting, or registration in a medical or hospital setting. Knowledge of medical terminology. Proficiency with word processing, Outlook, intranet navigation, and scheduling systems such as GE Centricity Business, Cerner, or PBAR. Excellent communication skills in English (speaking, reading, and writing). Highly flexible, proactive, efficient under pressure, and adept at working independently or in a team. In‑depth knowledge of major insurance plans and coverage types, including government programs. Proven ability to process referrals promptly and manage patient scheduling effectively. Preferred Qualifications Bachelor’s degree in a related field. 5‑7 years of administrative or customer‑service experience in an ambulatory care environment. Proficiency in Chinese (Mandarin or Cantonese) or Spanish. Certified Medical Assistant (CMA) or equivalent qualification. Job‑related billing and coding certification. Licenses/Certifications Fire Life Safety Training – required for residents in Los Angeles City; must obtain and renew within 30 days if not already held at hire.
