Business Operations Specialist

About the Role Capstone Analytic is a growing strategy consulting firm supporting federal health IT, acquisition, financial analysis, portfolio strategy, and executive decision support. We are seeking a highly organized, responsive, and growth-oriented Business Operations Specialist to help run the internal operations of the company while supporting recruiting, employee onboarding, HR coordination, federal contracting administration, business development, and client project operations. This is a hands-on role for someone who wants broad exposure to how a growing government contracting business operates. The ideal candidate is early in their career but has strong judgment, excellent communication skills, professionalism, and the drive to grow into a larger business operations role over time. This is primarily a work-from-home position, but the selected candidate must be located in or near Huntsville, AL and available to support occasional in-person meetings, conferences, networking events, employee onboarding needs, and business development activities. Location Work-from-home; Huntsville, AL area required for in-person meetings, events, and business development support. Responsibilities Business Operations, HR & Employee Support Coordinate new employee onboarding, including paperwork, equipment, system access, training, and first-day readiness. Support employee offboarding, including equipment return, access coordination, and documentation. Maintain employee records, onboarding checklists, internal trackers, company templates, policies, SOPs, NDAs, and administrative files. Support timekeeping, travel, reimbursements, expense documentation, and employee administrative requests. Coordinate with benefits providers, employees, and leadership on benefits administration and employee support matters. Prepare payroll-related inputs and timekeeping summaries for leadership review, while final payroll approval remains with company leadership. Recruiting & Candidate Coordination Support recruiting operations, including resume screening, candidate tracking, questionnaire administration, interview scheduling, and candidate follow-up. Conduct initial candidate screens when appropriate. Maintain job posting records, interview notes, hiring trackers, and candidate status updates. Help ensure candidates receive timely, professional communication throughout the hiring process. Security, Credentialing & Equipment Support background checks, fingerprinting, federal credentialing, CAC/DHA laptop coordination, and client onboarding processes. Set up and manage corporate devices using Microsoft Intune/Entra according to Capstone policies. Coordinate shipment of equipment to new employees and return of equipment from departing employees. Maintain accurate equipment, access, and asset trackers. Coordinate with employees, vendors, government/client points of contact, and leadership to resolve onboarding or access issues. Federal Contracting & Growth Support Support Capstone’s federal contracting infrastructure, including SAM.gov administration, vendor registrations, GSA Schedule support, multiple-award contract tracking, and small business certification research and applications. Monitor potential contract opportunities and identify opportunities aligned to Capstone’s capabilities. Prepare concise one-page opportunity summaries for leadership review, including customer, scope, fit, risks, partners, and a bid/no-bid recommendation. Support proposal coordination, document organization, internal capture tracking, and business development follow-up. Identify relevant industry days, networking events, corporate events, and sponsorship opportunities in Huntsville, Washington, DC, and other priority markets. Support Capstone’s LinkedIn presence and corporate brand management, including hiring posts, company updates, event announcements, and marketing content. Project & Travel Coordination Support federal project operations as needed, including administrative coordination, document tracking, and project follow-up. Serve as a travel coordinator for client-related work, including Defense Travel System support. Assist with travel authorizations, vouchers, supporting documentation, routing, status tracking, and traveler follow-up. Maintain trackers for open travel actions, pending approvals, reimbursement issues, and deadlines. Required Qualifications U.S. citizenship. Ability to obtain and maintain a federal security clearance. Located in or near Huntsville, AL. Strong written and verbal communication skills. Strong attention to detail, follow-through, and responsiveness. Professional demeanor with employees, candidates, vendors, and client stakeholders. Ability to manage multiple priorities and keep tasks organized. Strong Microsoft Office skills, especially Outlook, Word, Excel, PowerPoint, and Teams. Ability to handle confidential employee, candidate, company, and client information with discretion. Willingness to learn government contracting, HR operations, recruiting, benefits administration, security onboarding, and business development processes. Preferred Qualifications 1–4 years of experience in business operations, HR coordination, recruiting coordination, project coordination, office management, executive support, or government contracting support. Experience supporting a federal contractor, consulting firm, professional services company, or government client. Familiarity with Microsoft 365, SharePoint, Teams, Excel trackers, Intune, Entra, and document management. Experience supporting onboarding, benefits, timekeeping, travel, expenses, or HR administration. Familiarity with SAM.gov, GSA, GovWin, industry days, proposal support, capture tracking, DTS, CAC/badging, background checks, or federal client onboarding. What Success Looks Like A successful Business Operations Specialist will help Capstone stay organized, responsive, and ready to grow. This person will keep onboarding moving, candidates informed, employee records accurate, travel actions tracked, equipment accounted for, and business development opportunities organized for leadership review. The right person does not need a long resume. They need strong judgment, strong communication skills, professionalism, curiosity, discretion, and the ability to follow through independently.
