The Office Ambassador will serve as the primary point of contact for visitors, clients and employees in the West Michigan region. This role plays an important part in creating a positive and welcoming atmosphere, ensuring that all individuals feel valued and supported.
We are looking for a part-time position 20-25 hours a week.
What You Would Do- Greet and welcome visitors, clients and employees as they enter the office premises, directing visitors to the appropriate employees or meetings.
- Provide exceptional customer service to all individuals interacting with the West Michigan office; addressing inquiries and resolving issues promptly and professionally.
- Assist with scheduling appointments, coordinating meetings and managing conference room bookings.
- Maintain cleanliness and organization of all common areas including reception, meetings rooms, kitchen, etc.
- Manage office supplies, inventory and equipment include kitchen and conference rooms.
- Coordinate with maintenance or contractors for repairs and upkeep as needed.
- Coordinate with all departments to ensure smooth operations and communication flow.
- Assist in organizing office events, meetings and gatherings.
- Arrange catering services, set up meeting rooms and provide logistical support for events.
- Act as liaison for regional community contacts.
- Proven experience as an office coordinator, administrative assistant or similar role.
- Knowledge of office administrator responsibilities, systems, and procedures.
- Proficiency in MS Office.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Professional appearance and demeanor.
- Strong organizational and planning skills in a fast-paced environment.
- High School degree; additional administrative assistant qualification is a plus.
- Ability to walk/stand for long periods and lift up to 30lbs.
