Administrative Assistant III

Western University of Health Sciences

Job Summary Provides a variety of administrative and support services for the College of Podiatric Medicine’s enrollment strategies and pipeline development. Key Responsibilities Provides support to the College Admissions Committee, including scheduling meetings, managing Outlook calendars, preparing agendas and minutes, and drafting scholarship recommendations for Dean’s approval based on GPA and MCAT metrics. Supports the college, faculty and administration for admissions and recruitment outreach events, including interview day logistics, supply ordering, outreach to undergraduate and secondary institutions, and preparation of presentations and marketing materials. Collaborates with CPM students and faculty to schedule and coordinate attendance for outreach and recruitment events with WesternU departments such as Public Affairs, Marketing, and the Admissions and Recruitment Office. Provides logistical support such as room scheduling, catering, and ensuring AV needs are met. Assists in the development of the College linkage programs with undergraduate institutions, including scheduling meetings with pre‑health advisors and coordinating linkage events. Works with the WesternU Office of Academic Community Engagement to support students, faculty, and external stakeholders in expanding College outreach and building a pipeline for student enrollment. Provides assistance to prospective students inquiring about the DPM and DPM‑AS programs. Handles special assignments and provides data as requested by the College’s Academic Administrative Team (AAT). Coordinates prospective student shadowing at the WesternU Health Foot and Ankle Center, including scheduling, tracking, and maintaining the database of approved podiatric physicians. Performs any additional duties as assigned. Required Qualifications Associate of Arts degree or equivalent combination of education and experience. Minimum 1–3 years of administrative or clerical experience. Proficiency with Microsoft Office (Word, Excel, PowerPoint, Access) and other relevant software. Excellent verbal and written communication skills and the ability to interact professionally with administration, faculty, staff, students and external affiliates. Ability to prioritize tasks and resolve problems promptly. Commitment to working in an organization that values and promotes humanism. Preferred Qualifications 3–5 years experience as an Administrative Assistant, Associate, or Executive Assistant, preferably in an academic environment. 3+ years in sales and/or marketing, ideally with knowledge of social media marketing or customer service experience. Bilingual abilities are viewed favorably. Work Schedule Normal business hours with occasional nights and weekends. Physical Demands Requires frequent use of hands for computer work; may occasionally stand, walk, stoop, and lift up to 25 pounds. Vision requirements include close, distance, peripheral, depth perception, and focus. Work Environment Typical office setting with low to moderate noise level.
