Behind every child who receives services is a coordinated effort to make sure care is authorized, covered, and never interrupted. The Insurance Coordinator sits at the center of that effort.

Position Summary

We're looking for a detail-driven Insurance Coordinator to own the eligibility and authorization side of our ABA services. In this role, you make sure every client has active insurance coverage and valid authorization in place before and throughout their care — verifying benefits, securing initial authorizations, and staying ahead of re-authorization deadlines so that no child's services lapse. You'll be the connective tissue between payers, our clinical team, and families, translating insurance requirements into clear next steps and keeping our authorization pipeline accurate and current.

This is a role for someone who is organized, persistent, and detail oriented — someone who takes real ownership of deadlines and follows through until each authorization is confirmed.

Key Responsibilities

Eligibility & Benefits Verification

• Confirm that referrals, diagnoses, and required documentation meet each payer's criteria for ABA services.
• Confirm new coverage whenever a client's coverage changes.

Authorization & Re-authorization Management

• Prepare and submit initial authorization requests for ABA assessments and treatment, ensuring each packet is complete and payer-compliant.
• Track every active authorization — units approved, units used, and expiration dates — and initiate re-authorizations well ahead of deadlines to prevent any lapse in services.
• Coordinate with BCBAs and the clinical team to gather assessments, treatment plans, progress reports, and supporting documentation required for authorization and continued-care requests.
• Monitor authorization status through submission, follow-up, and approval, escalating delays and resolving payer requests for additional information.

Payer & Internal Coordination

• Serve as the primary point of contact with our insurance team
• Keep clinical, intake, and billing teams informed of authorization status, upcoming expirations, and any coverage issues that could affect a client's schedule.
• Communicate coverage and authorization details clearly to families when needed, in plain, supportive language.

Records & Compliance

• Maintain accurate, up-to-date authorization records in our systems (client management platform and payer portals), ensuring dates, units, and documentation are always current.
• Track key dates and maintain a reliable tickler/reminder system so re-authorizations are never missed.
• Handle all client and health information in accordance with HIPAA and organizational privacy standards.

Qualifications

Required

• 1+ years of experience in insurance verification, prior authorizations, or a related healthcare administrative role (ABA, behavioral health, or pediatric therapy experience strongly preferred).
• Working knowledge of insurance concepts — eligibility, benefits, authorizations, medical necessity, and payer requirements.
• Strong organizational skills and exceptional attention to detail, with a proven ability to manage many deadlines at once without letting anything slip.
• Clear, professional written and verbal communication.
• Comfort working in insurance portals, EHR/practice-management systems, and standard office software (spreadsheets, email).
• Persistence and comfort with payer follow-up — including phone calls and appeals of incomplete or delayed requests.
• A discreet, professional approach to confidential health information (HIPAA).

Preferred

• Direct experience with ABA authorizations and continued-care/re-authorization workflows.
• Familiarity with Medicaid and commercial payer requirements in our service areas.
• Experience coordinating with BCBAs or clinical teams to assemble authorization documentation.
