We are seeking a highly organized and detail‑oriented Estate Planning and Administration Paralegal who is proactive in prioritizing tasks under deadlines, implementing structure, and delivering superior client service in a collaborative, fast‑paced environment. This candidate should be compassionate, composed when working with clients in sensitive family circumstances, and have a collaborative mindset with the ability to work independently in a remote setting. Health insurance stipend 3% matching 401k once eligible to participate Potential quarterly performance bonuses Professional development and mentorship opportunities Responsibilities Support Managing Partner in drafting, proofreading, and finalizing estate planning documents Prepare and file probate and estate administration documents throughout PA & NJ Manage client billing, track time entries and schedule client meetings Coordinate with vendors and financial institutions to quickly and accurately administer trusts and estates Conduct client intake and host client meetings Ensure clients have a clear understanding of applicable federal, state and local laws and expectations Maintain organized client files in addition to preparing and filing deeds Requirements 4+ years of estate administration experience as a Paralegal Have worked on estates between $1‑5M An Associate or Bachelor's degree Has completed 15+ estate administrations from start to finish Exceptional written and verbal communication skills, with meticulous grammar and proofreading Proficiency with e‑filing systems and PA/NJ inheritance tax returns Strong understanding of fiduciary or income tax principles and related documentation Maintains a strong record of meeting on average seven billable hours per day Preferred Qualifications A paralegal certification and/or Notary Public certification Proficiency with LEAP, CLIO, WealthCounsel, or similar platforms Experience coordinating with financial professionals and managing workflows Strong project management skills and adherence to deadlines Sallen Law LLC is an equal opportunity employer.
