The Opportunity We are seeking a Luxury Expedition Sales Support professional to join our high performing, service-driven team. This role is ideal for someone who thrives in a fast-paced, collaborative environment and takes pride in managing their work and communication with precision.

You'll work closely with our Expedition Advisors to support the client booking process ensuring every detail is buttoned up and on brand. If you're highly organized, tech-savvy, and genuinely excited about helping travelers explore the world, this is a great opportunity to grow with us.

We're looking for someone who's a quick study, highly dependable and ready to take initiative from day one. The long-term opportunity includes the potential to transition into an Expedition Advisor role following a minimum of one year in this support role, depending on performance and business needs.

Key Responsibilities

  • Collaborate closely with Expedition Advisors to manage client bookings throughout the sales cycle by placing holds, preparing proposals, and writing timely offer letter responses to travel inquiries.
  • Assist in gathering and organizing information required for booking cruises, land programs, and optional services
  • Maintain accurate, consistent information across multiple platforms, ensuring everything from pricing to itinerary details are correct and current.
  • Prepare and format polished, customized travel proposals and preliminary itineraries to align with client preferences and trip goals
  • Communicate clearly and professionally with clients, suppliers, and internal team members to confirm availability, pricing and program details.
  • Ensure all booking-related tasks are tracked and completed accurately and consistently within deadlines so no details slip through the cracks
  • Proactively anticipate questions or inconsistencies and confirm details as needed
  • Maintain detailed records in our CRM (Salesforce) and internal systems
  • Support ongoing sales operations by contributing to process improvements, documentation, and cross-functional projects that enhance efficiency and team performance

Core Qualifications:

  • 3-5 years of experience in a client-facing support or service role, ideally within luxury hospitality, high-end travel, or a similarly detail-oriented, high-touch industry that prioritizes exceptional customer care
  • Bachelor's degree in hospitality, tourism, or related fields, or equivalent professional experience (preferred)
  • Outstanding organizational skills and a sharp eye for detail. This role demands an exceptional level of precision and consistency.
  • Excellent written and verbal communication with the ability to build rapport, write polished client emails and proposals quickly, and collaborate effectively across teams and with suppliers
  • High level of digital fluency including proficiency inMicrosoft Office and CRM platforms such as Salesforce, along with the ability to quickly learn new systems and tools efficiently.
  • Proven ability to prioritize tasks, manage competing deadlines, and maintain a high level of accuracy under pressure
  • Proactive in anticipating client and team needs, with the ability to take initiative and follow through on tasks independentlyin a deadline-driven environment
  • Meticulous attention to detail , ensuring all key client preferences, pricing and trip components are consistently accurate, captured, organized, and communicated clearly across teams for seamless collaboration and service delivery
  • Receptive to feedback , with a commitment to continuous improvement and learning from experiences
  • Team-oriented, flexible and collaborative , with a willingness to assist wherever needed to ensure a seamless client experience
  • Passion for travel , with a particular interest in luxury expeditions, remote destinations, adventure travel, or wildlife, is a plus
