Since 2010 Unlocking The Spectrum has been dedicated to providing compassionate, high-quality patient care to clients with autism. We are seeking a detail-oriented and reliable Medical Office Clerk to join our front-office team and support our daily clinical operations.

As a Medical Office Clerk, you will focus on organizational tasks to keep our electronic files accurate and our clinic running smoothly. This is an ideal role for an individual with strong data entry skills and a high attention to detail.

Key Responsibilities

• Perform basic data entry, including updating patient and company files in our systems.
• Efficiently sort and organize digital files, employee onboarding documents, scanned medical documents, etc.
• Monitor, manage, and respond to routine emails and inquiries.
• Monitor incoming mail and distribute accordingly.
• Greet clients and families warmly and assist with basic check-in procedures and answering the phone as needed.

Role Purpose

The Medical Office Clerk is responsible for executing foundational, routine administrative duties that ensure employee records, medical records and digital workflows remain organized, compliant, and up-to-date.

Essential Duties & Responsibilities

1. Data Entry & Management: Input payroll data accurately into system.
2. Digital File Management: Organize, categorize, and archive digital documents, ensuring records are easily accessible for clinical staff while maintaining strict data security.
3. Email & Communication Handling: Triage standard administrative emails, forward clinical messages to appropriate staff, and send routine follow ups and reminders.

Performance Standards

• Accuracy: Maintain a high standard of data entry precision with minimal errors in patient records.
• Timeliness: Complete daily sorting and logging tasks before the end of each shift.
• Compliance: Strictly adhere to HIPAA and OSHA guidelines regarding patient privacy and digital data security.

Requirements

Qualifications & Skills

High school diploma or equivalent.

Proven experience with basic data entry and computer literacy (Microsoft Office, Google Workspace, EHR systems).

Strong typing skills and keen attention to detail.

Excellent verbal and written communication skills.

Ability to maintain patient confidentiality in compliance with HIPAA regulations.
