To find out more about MEDA, please visit our website at POSITION SUMMARY The Philanthropy & Public Engagement Coordinator is responsible for supporting donor member and public engagement activities including event coordination, communications support, content preparation, and administrative tasks. The role enables effective stewardship, engagement, and operational coordination across the Philanthropy & Public Engagement team and is responsible for US donation deposits. Occasional travel may be required. Job Status: Full-Time Reports To: Vice President, Philanthropy & Public Engagement Start Date: August 2026 Location: Lancaster, Pennsylvania Working Arrangement: Hybrid, with 3 days per week in office MAIN RESPONSIBILITIES INCLUDE: General Administrative & Team Support - 30% Provide overall coordination function for the Philanthropy & Public Engagement (PPE) division's short-term and long-term activities and projects including scheduling, document preparation and meeting coordination Organize and help coordinate annual and other regular processes in coordination with team members Serve as Executive Assistant to the VP, Philanthropy & Public Engagement assisting with emails, managing calendars, booking travel, processing expenses and providing additional administrative support as needed Undertake research for the VP, Philanthropy & Public Engagement as required, analyzing and synthesizing information and preparing summaries of materials from files Support the VP, Integrated Communications & Thought Leadership with calendar management, travel bookings, expense claims and other administrative tasks as necessary Assist Philanthropy & Public Engagement leadership with a range of divisional projects ensuring deadlines and timelines are met Respond to routine donor and constituent inquiries, escalating as needed Contribute to team coordination and continuous improvement Donor & Public Engagement Support - 30% Provide administrative and logistical support for member and public engagement events including MEDA Regional Network events and MEDA's annual convention Support event planning, registration, materials preparation, on-site logistics and post-event follow up Coordinate schedules, communications and materials for philanthropy & public engagement activities Philanthropy Operations & Financial Administration -- 15% Process and clear private donor cheques received in the US in accordance with MEDA finance policies Ensure purchase order and expense compliance for PPE related activities in MEDA systems/databases (e.g. NetSuite) Maintain accurate documentation and records related to all transactions and approvals Process divisional invoices and serve as primary contact relating to NetSuite submissions Support the VP, PPE with management of the Philanthropy & Public Engagement budget in collaboration with division leaders Communications & Content Support -- 15% Create presentations and other meeting material, including reports and Board material, liaising with the VP, PPE and division leaders to ensure required content is delivered on time Create and update PowerPoint presentations for donor events and internal use Provide light graphic design support (basic layouts, simple visuals) using approved templates Edit, organize and post public photo albums for partners and stakeholders in accordance with brand guidelines Coordinate various communication materials produced by PPE to ensure consistent and clear communication to employees (MEDABytes, etc) Data, Systems & Reporting Support -- 10% Support data entry and maintenance in donor and engagement systems Assist with basic reporting related to events, engagement activities and communications Ensure data accuracy and confidentiality in accordance with MEDA policies and privacy standards REQUIREMENTS Education: Bachelor's degree in administration, communications, philanthropy, fundraising or public engagement Experience: Minimum 4 years of experience in an administrative capacity, supporting the activities of an executive or department Technical Expertise: Proficient in Microsoft Office Suite, experience or ability to learn working with databases (donor, financial) ADDITIONAL QUALIFICATIONS INCLUDE: Appreciation and support of MEDA's faith statement, values and goals Understanding and appreciation of business principles, international development, and MEDA's approach of creating business solutions to poverty Excellent communication and interpersonal skills Strong organizational and time-management skills with attention to detail Customer-service mindset with professionalism and discretion Ability to manage multiple priorities and deadline Ability to work collaboratively across teams Occasional travel may be required APPLICATION DEADLINE: August 14, 2026 @ 4:00 pm EST.
