Shift - M-F | 8:30a 5:00p Work Location - Onsite Medina, Ohio Division - Shared Services Division Team - Administration Reports To - Vice President Administration Job Purpose Responsible to manage the day-to-day processing, monitoring, and reporting of customer invoices; performs accurate and efficient billing processes, ensures the timely collection of payments, and maintains positive client relationships. Responsibilities Invoice Preparation and Submission: Generate, review, and submit accurate, timely invoices in accordance with customer-specific billing requirements, schedules, and submission deadlines. Billing Documentation and Reporting: Prepare PDF invoices, complete lien waivers, maintain billing spreadsheets, and ensure accurate information is entered into customer portals and internal systems. Accounts Receivable Tracking: Monitor invoices from approval through submission and payment, follow up on aging invoices, and report billing discrepancies or missing information that may delay payment. Customer Service and Collaboration: Respond promptly to customer billing inquiries, resolve payment issues and disputes, and collaborate with internal account managers and the business development team to maintain accurate customer records. Process Improvement and Administrative Support: Support the development of best practices to improve billing accuracy and efficiency while assisting with general administrative activities and team operations. Requirements Education and Experience: One to three years of related experience required; an associate degree in Accounting or Business Administration preferred. Accounts Receivable Knowledge: At least two years of accounts receivable experience in a fast-paced environment, with familiarity using customer portals for billing and payment management. Attention to Detail: Demonstrated accuracy and strong attention to detail when managing invoices, billing records, and financial information. Organization and Multitasking: Self-motivated, highly organized, and able to manage multiple priorities effectively in a fast-paced environment. Computer Skills: Intermediate computer proficiency, including email, scheduling, word processing, spreadsheets, presentations, graphics, databases, and internet applications.
