Intake Specialist

Collins Law, LLC is seeking a dedicated, compassionate, and highly organized Legal Intake Specialist to serve as the first point of contact for potential new clients. The Legal Intake Specialist plays a crucial role in the success of our firm by creating the first impression of Collins Law and setting the tone for the potential client’s experience with our team. This position requires someone who can connect with people, listen carefully to their concerns, gather important case information, and provide timely and professional communication throughout the intake process. Responsibilities: Serve as the first point of contact for potential new clients, providing a professional, compassionate, and positive experience while conducting detailed interviews and gathering relevant case information. Manage incoming leads from initial contact through the intake and sign-up process, including timely and consistent follow-up by phone, email, text, or other approved communication methods. Build rapport with potential clients, explain the firm’s intake process and next steps, and help qualified potential clients move forward with retaining the firm. Follow established intake criteria, scripts, and procedures to screen potential cases. Prepare accurate case summaries and escalte matters requiring Attorney or management review. Accurately document client information, case details, communications, lead status, and follow-up activity in the firm’s case management system, ensuring records remain complete and up to date. Send engagement documents and other correspondence, obtain required signatures and information, collect necessary documents, and assist with the smooth onboarding and handoff of newly signed clients. Manage multiple leads, follow-ups, and deadlines while ensuring tasks are completed accurately and within required timeframes. Collaborate effectively with the Intake Manager, Attorneys, Case Managers, and other team members throughout the intake process. Follow instructions and established firm procedures and be comfortable receiving coaching, corrections, and constructive feedback from the Intake Manager and applying that feedback to future work. Assist with additional intake and administrative duties as needed. Qualifications: Previous experience in sales, customer service, intake, call center, or another client-facing role required. Excellent verbal and written communication skills, with the ability to build rapport, listen carefully, communicate with empathy, and remain professional when working with individuals who may be experiencing stressful situations. Strong sales and follow-up skills, including the confidence and persistence needed to communicate with potential clients and help qualified leads move through the sign-up process. Highly organized and detail-oriented, with the ability to manage multiple priorities, deadlines, and a high volume of leads in a fast-paced environment. Proactive, dependable, and accountable, with the ability to take ownership of assigned responsibilities while consistently following established processes and procedures. Comfortable using technology, including case management systems, Microsoft Office, email, and other office software. Team-oriented and coachable, with a positive attitude and willingness to take direction, receive constructive feedback, learn from corrections, and continuously improve.
