Medical Office Assistant

Job Summary

We are seeking a customer-focused Medical Office Assistant/Patient Services Representative to support daily operations in a healthcare clinic. The ideal candidate will have strong administrative, communication, scheduling, and patient registration skills, preferably in a medical or multispecialty clinic setting.

Key Responsibilities:

• Greet patients and visitors professionally, provide directions, and explain available programs and services.
• Answer, screen, and direct telephone calls; manage paging systems, voicemail, and messages.
• Schedule patient appointments and procedures while minimizing wait times.
• Perform patient registration and preregistration, verifying patient identity, demographics, insurance, and guarantor information.
• Review physician orders and ensure required documentation is accurate and complete.
• Verify insurance eligibility and benefits, referrals, and prior authorizations.
• Collect copayments, coinsurance, and outstanding balances; process payments and balance cash drawers according to procedures.
• Coordinate referrals to other services and follow up on outstanding appointments or services.
• Retrieve and maintain patient records while following HIPAA privacy and confidentiality requirements.
• Complete patient check-out, schedule follow-up visits, and communicate next steps.
• Enter charges accurately into the appropriate systems and complete assigned work queues within established timeframes.
• Maintain and update appointment scheduling templates and departmental records.
• Compile operational data and assist with performance improvement activities as requested.
• Monitor inventory and order supplies while following budget guidelines.

Required Qualifications

• High school diploma or equivalent, or five years of experience in a healthcare setting.
• Strong customer service, communication, and organizational skills.
• Accurate data entry and attention to detail.
• Ability to manage multiple tasks in a busy healthcare environment.
• Commitment to patient confidentiality and HIPAA compliance.

Preferred Qualifications

• Previous clerical, office, or administrative assistant experience.
• Previous medical or healthcare experience.
• Experience working in a multispecialty clinic.
• Familiarity with electronic health records, preferably Epic.
• Experience with appointment scheduling, insurance verification, referrals, authorizations, and payment collection.
