Responsibilities Provides administrative support to management and physicians, including scheduling, coordination of meetings, and projects as assigned. Supports the team by scheduling appointments, data entry, and maintenance of student medical records, making copies, filing, organizing, and distributing educational hand‑outs. Determines and triages students’ counseling needs and coordinates appointments with the Director or counselor when necessary. Creates a welcoming, supportive environment for students, parents, faculty, administrators, and staff while maintaining confidentiality. Functions as a resource for Counseling Center staff by monitoring arrivals, providing materials, and reporting any crises or concerns. Maintains appointment calendars on Point and Click, updates as needed, and runs reports. Assists with logistical arrangements for outreach programs and performs secretarial duties. Prioritizes tasks from multiple stakeholders, manages meetings, conference, and travel arrangements. Manages receipts for department credit card and reconciles monthly. Maintains the Counselor‑On‑Call schedule, prepares agendas for weekly staff meetings and case conferences, and takes minutes. Coordinates schedules, events, and projects, ensuring timely completion and follow‑up. Performs other duties as assigned. Required Qualifications High school diploma or equivalent. At least 2 years of experience in a clerical/administrative or front‑desk/receptionist role. Experience with scheduling appointments, filing, handling referrals, and phone calls. Ability to work in a fast‑paced, complex environment while maintaining a welcoming and supportive presence. Exceptional communication skills, both verbal and written. Detail‑oriented with strong organizational skills. Computer competency in Word, Excel, Datatel, and Point and Click (electronic medical record system). Fire Life Safety Training (LA City). If no card upon hire, one must be obtained within 30 days. Preferred Qualifications Bachelor’s degree. Additional Information Hourly rate range: $25.00 – $39.69. USC is an equal‑opportunity employer.
