Academic Program Specialist II

The UF College of Pharmacy's Office of Experiential Programs (OEP) provides high-quality clinical learning experiences to develop skilled and trustworthy Pharmacists ready to serve their patients upon graduation. The Academic Program Specialist II position is responsible for the student rotation scheduling process, preceptor on-boarding and reappointments, and maintaining all information in CORE ELMS. In addition, the position is responsible for developing policies and procedures for program improvement, providing support for students and preceptors and overall general support of the OEP Team.

Database Coordinator: Responsible for gathering all scheduling data and building the information in CORE ELMS and Canvas. Maintains records and documents for rotation student schedules, preceptors, and sites. Serves as a backup for maintaining records, preceptor/student evaluations, maintaining preceptor accounts and documents for site visits. Prepares scheduling database for scheduling season. Responsible for reporting, including but not limited to scheduling summaries, preceptor availability, student rotation assignments, and quality reporting.

Scheduling/Preceptor Coordinator: Responsible for strategic planning of student schedules and preceptor hiring and renewals. Building the IPPE and APPE preceptor/student schedules, requiring constant contact with associate director, regional coordinators, faculty, preceptors, and students. This includes maintaining the assessments within the database, rankings, schedules, exchange requests, and petition requests. Processes all preceptor appointments for student rotations. Serve as a contact for preceptors with scheduling inquiries and administrative needs. Responsible for developing and communicating policies and procedures based on assessments for program improvement. Maintains the updates to Canvas courses to communicate program expectations to students. Responsible for developing procedures that will increase productivity of schedule building process. Responsible for student scheduling changes after schedules are finalized.

Administrative: Serves as a member of the Florida Scheduling Consortium group to align state-wide scheduling initiatives. Supervision of OPS Student staff. Direct students, staff, faculty, and pharmacists to appropriate personnel within and outside our division for assistance as required. Compose/send routine correspondence to students and preceptors. Represent the Office of Experiential Programs when required. Provide back up for monitoring and managing the IPPE quiz proctoring and duties relating to monitored students. Additional duties as assigned.

Expected Salary: Commensurate with education and experience.

Required Qualifications: Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred: Must understand and practice excellent customer service. Must possess a professional attitude which is conveyed in all interactions, communications and appearance. Excellent verbal and written communication skills, ability to organize, manage, and multitask in a fast-paced environment. Must be able to work independently with demonstrated problem solving skills and attention to details. Previous experience interacting and engaging with students, is preferred.
