Licensing Specialist
The Licensing Specialist is responsible for coordinating, monitoring, and maintaining practitioner licensure for the Shriners Children's system, ensuring compliance with all regulatory, accreditation, and organizational requirements. This position oversees the complete life cycle of practitioner licenses—including medical, nursing, DEA, controlled substance, compact and telehealth licenses—and supports multi-state licensing needs. The Specialist plays a key role in ensuring practitioners are appropriately licensed to deliver patient care across all system locations and telehealth platforms, as needed. This team member works collaboratively with practitioners, Medical Staff Coordinators, Credentialing Specialists, Telehealth Team and others as needed to ensure continuous licensure and proactively identifying, escalating, and resolving licensure risks that could impact practitioner eligibility to practice.
Key Responsibilities
- Manage all aspects of practitioner licensure, including initial applications, renewals, and verifications for state medical, and telehealth licenses.
- Communication to support physician awareness CME requirements to maintain licensure.
- Coordinate applications and renewals under the Interstate Medical Licensure Compact (IMLC).
- Manage DEA registrations and renewals, including coordination with state controlled substance registrations where required.
- Track and monitor telehealth license expirations to ensure continuous compliance and prevent lapses in authorization to practice.
- Identify, escalate, and mitigate licensure risks including pending expirations, incomplete applications, or state board delays.
- Research and maintain current knowledge of state-specific and compact-specific licensing laws and regulations, including those related to telehealth practice.
- Maintain documentation and audit-ready records for all licensure actions.
- Act as the primary liaison with state medical boards, and regulatory agencies to facilitate efficient processing of applications.
- Prepare and distribute regular reports and dashboards detailing license and compact status for system leadership and compliance review.
- Serve as a subject matter expert for multi-state and compact licensing within the Physician Medical Group - CVO team.
- Escalate licensure risks or regulatory concerns to Licensing Manager, CVO Leadership, or Compliance as appropriate.
- Apply regulatory interpretation within established policies and seek guidance on ambiguous or high-risk scenarios.
- Monitor licensure regulations and compact participation changes to support strategic system growth and compliance.
- Participate in audits, surveys, and accreditation reviews related to practitioner licensure.
- Support the onboarding of new practitioners and appointment/s to additional Shriners Children's locations by coordinating licensing timelines with credentialing, privileging and payer enrollment activities.
- Educate practitioners on licensure requirements, timelines, and compliance obligations to support timely participation.
- Provide proactive updates to practitioners and leadership on licensing status, upcoming expirations, and regulatory changes.
- Work collaboratively with CVO, Medical Staff Offices, and Telehealth Team and system departments as needed to streamline processes and enhance practitioner experience.
- Contribute to the development of policies, procedures, and workflows to support efficient and compliant licensing operations across the hospital system.
Required Qualifications:
- Minimum of 3 years of experience in a hospital-based credentialing, licensing or medical staff services role.
- Demonstrated experience with practitioner licensing across multiple states, including compact licensure and telehealth operations.
- Experience managing high-volume, multi-state licensure portfolios preferred.
- Experience with licensing or credentials management software such as MD-Staff, Cactus, or equivalent systems.
- Advanced knowledge of Microsoft Word and Excel
- High School Diploma/GED
Preferred Qualifications:
- Associate's degree
- Certified Provider Credentialing Specialist (CPCS) or ability to obtain within two years of hire.
- Certified Professional Medical Staff Manager (CPMSM)
The pay range for this position is $60,798.40 - $91,208.00. Compensation is determined based on years of relevant experience and departmental equity.
