Benefits Coordinator

Description We are looking for the right person to join our busy, but friendly, nonprofit. The Benefits Coordinator reports to the Client Benefits department, and is responsible for guiding individuals with special needs, their advocates, and professionals through the application and recertification process for SSI-Related Medicaid programs. This position focuses on Medicaid programs serving aged and disabled individuals, not family-related Medicaid. Responsibilities include preparing and tracking Medicaid applications and recertifications, gathering and reviewing supporting documentation, researching Medicaid eligibility rules, responding to DCF requests, and monitoring ongoing eligibility. This position offers an opportunity for growth. As knowledge and experience develop, the Benefits Coordinator may assume increased responsibility for complex cases, quality review, providing training to internal departments and other professionals, process improvement, and departmental leadership. We are pet friendly, with dogs in the office daily. Responsibilities & Duties include, but are not limited to: Complete Medicaid applications and recertifications, including gathering, labeling, and uploading documents to appropriate portals Manage assigned caseload from initial application through approval, denial, recertification, or other resolution. Review Medicaid notices via My Access site, including requests for additional information and determine appropriate follow-up action; work with clients, advocates, and professionals to resolve documentation issues. Develop working knowledge of Medicaid eligibility requirements affecting elderly individuals and persons with disabilities, including income, assets, transfers, trusts, and other eligibility considerations. Communicate with clients, their families, professionals, and relevant support staff via telephone, email, or in-person. Perform regular review of client trust deposits to ensure program eligibility is maintained; advise about trust deposits where appropriate. Interface with DCF staff via phone, email, smartsheets, online portals, or other methods. Demonstrated ability to interpret and apply detailed policies, procedures, rules, or regulations. Serve as a resource to professionals and internal departments regarding Medicaid application procedures and eligibility requirements. Identify recurring application or client-service issues and recommend improvements to departmental processes. Assist with the development of departmental procedures, checklists, templates, and training materials. Thoroughly and accurately document client communications, application status, deadlines, and actions taken in company CRM. Maintain and update organized case records, spreadsheets, internal databases, and client files including electronic and physical documents. Other duties as requested. Supervisory Responsibility This position does not currently have direct supervisory responsibility. As the employee develops knowledge and experience, responsibilities may expand to include training, mentoring, quality review, workflow coordination, and other departmental leadership functions. Work Environment This role operates in an in-office capacity. The incumbent routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Employee is expected to be available during normal business hours, Monday through Friday 9 am – 5 pm. Travel No travel is expected for this position. Requirements Experience submitting Medicaid applications online, minimum 1 year Excellent verbal and written communication skills, and the ability to relay complex information in a clear and understandable manner. Professional telephone presence with strong active listening skills and the ability to communicate patiently and clearly with people who may be confused, frustrated, or unfamiliar with the Medicaid process. Strong critical-thinking and problem-solving skills, including the ability to identify inconsistencies and determine appropriate next steps. Ability to prioritize competing deadlines and independently manage follow-up on multiple active cases. Comfortable communicating with elderly individuals, individuals with disabilities, family members, guardians, attorneys, case managers, and other professionals. Demonstrated accountability and follow-through. Detail oriented with good organizational skills. Strong computer skills and experience with tracking, organizing, and recording call information, filing electronic and physical documents, and updating client accounts with details about benefits changes and client interactions. Proactive and takes initiative. Ability to work independently while recognizing when an issue should be escalated. Willingness to accept increasing responsibility as knowledge and competency develops. Interest in professional growth and developing leadership skills. Must be pet friendly!
