New Patient Coordinator

About the Role

Location: Newark, CA (Onsite)

Travel: Occasional travel to Palo Alto, CA (1–2 times per week)

We are looking for a highly organized and patient-focused New Patient Coordinator/Medical Scheduler to join our team in Newark, CA. In this role, you’ll be the first point of contact for new and existing patients, providing a warm, professional experience while supporting scheduling, intake, and administrative processes.

What You’ll Do

• Answer and return all incoming new patient calls in a courteous and professional manner
• Manage multiple calls and inquiries efficiently throughout the day
• Enter and track new patient referrals accurately in the system
• Send new patient welcome emails and required intake paperwork
• Collect and verify patient insurance information before scheduled appointments
• Triage incoming calls from work queues and route appropriately
• Provide clear instructions to patients to prepare them for exams and procedures
• Confirm upcoming appointments and ensure patients are informed and ready
• Resolve scheduling conflicts as they arise with a proactive and patient-first approach

• Excellent time management and ability to keep up with daily workflows and queues
• Outstanding communication and interpersonal skills
• Experience scheduling appointments and maintaining accurate patient records
• Detail-oriented approach with the ability to stay organized in a busy environment
• Comfort working with administrative systems and managing supplies when needed

This is a Contract position based out of Newark, CA.

The pay range for this position is $35.00 - $35.00/hr.

This is a fully onsite position in Newark,CA.
