Private Client Administrator / Office Manager

Private Client Administrator/Office Manager Greenwood Capital Associates | Greenville, SC (Onsite) Organizational Overview GCA Wealth, a division of Greenwood Capital, provides a complete wealth management experience through a holistic approach to financial planning and investment management. We work strategically and collaboratively with clients and their advisers to implement comprehensive financial plans. Responsibilities Advisor Support – collaborate with the adviser team to provide a quality client experience and support new business development. Responsibilities include: Administrative support such as managing appointments, schedules, and correspondence; scheduling client reviews and prospect appointments; preparing presentations, reports, and proposals. Follow‑up with clients to obtain documents and input client information into the Private Client Group systems. Assist adviser with sales and marketing support, generating proposals and coordinating event attendance. Support adviser in managing continuing professional education, licensing requirements, and professional memberships. Office Support – perform routine office duties to ensure a friendly and functioning work environment. Tasks include: Answer and handle the firm telephone numbers courteously, taking messages and responding to voicemail. Deliver all incoming mail and oversee outgoing mail, including the corporate PO Box. Monitor and restock all firm supplies in a timely, cost‑effective manner. Host all location guests professionally, including preparing meeting rooms as needed. Maintain all firm paper and electronic files, ensuring accurate filing and timely retrieval of client and adviser documents. Support routine activities for various areas, including preparing report packages, retrieving custodial statements, and assisting with quarterly mailings. Client Servicing – act as the initial client contact, responding to day‑to‑day needs and requests. Duties include: Serve as a liaison between clients and advisers, engaging advisers as appropriate. Monitor and maintain client accounts operationally, noting concerns to the adviser. Initiate, prepare, and maintain client correspondence, including mailings, annual documentation reviews, reporting packages, newsletters, and presentations. Document interactions in the CRM database based on client‑firm interactions, ensuring database integrity. CRM Management – review and monitor workflows within the current CRM system (Redtail). Work with advisory and operations teams to ensure accurate, efficient processes. New Accounts – coordinate onboarding for new client relationships or additional client accounts, including: Assist with account paperwork for new accounts, products, and services. Conduct client documentation meetings to review new account materials, obtain required paperwork, and prepare applications. Facilitate completion of application and transfer documents, overseeing the asset transfer process and coordinating with third‑party providers. Event Planning Assistance – assist with Greenville area events and other company events, including: Develop invitations, schedule delivery, and manage RSVPs. Act as event host and network with attendees. Conduct event post‑event reviews to ensure continuous improvement. Firm Operations – work with the operations team to ensure accurate client account establishment and support firm initiatives. Compliance – be knowledgeable of industry regulations and firm compliance, assisting advisers in maintaining compliant interactions. Other projects as assigned. Qualifications Associate or bachelor’s degree from an accredited college/university or comparable work experience. 2–5 years of verifiable work experience in a client support role, with at least 2 years in a client‑support capacity. Professionalism in the workplace, including appropriate dress, verbal and oral communication, etiquette, and business communication standards. Ability to learn industry concepts and terminology quickly; computer proficiency with above‑average Excel and Word skills desired. Prior experience with a broker or other financial services team preferred. Prior experience in a dynamic team environment supporting a sales/marketing team preferred.
