Full Time Clerical 6 days ago Requisition ID: 1001 Salary Range: $36,000.00 To $44,000.00 Annually Mission Our mission, grounded in traditional Native American culture, is to reduce health disparities by delivering high-quality comprehensive integrated healthcare and providing stable housing throughout the communities we serve. Position Summary Provides clerical, administrative support and coordination for all aspects of integrated care, both behavioral health and medical. Ensures that pending intake and prior authorization gaps are addressed to increase service outcomes. Responsibilities Greet clients and assist with client information, form completion, and obtaining necessary consents Set appointments for clients and ensure that daily client appointments are accurately logged in the electronic health record (EHR) Create charts in EHR for new or scheduled clients Follow up on missed appointments to appropriately re-engage the patients Follow proper procedure to check the patient in for the day’s services Assist with verification of insurance eligibility and benefits including verification of coverage, policy status, coverage limits, co-pays, deductibles, and out-of-pocket maximums Confirmation of specific benefits for medical procedures, treatments, or services to ensure compliance with insurance policies Obtain pre-authorization and pre-certification for medical services as required by insurance plans Accurately document all insurance and benefits information in the EHR Contact outside agencies when needed for referral information and/or other assistance for clients Maintain appearance of reception area and the waiting room Prepare client files, filing of progress notes/client information Attend bi-weekly Outpatient Staff Meeting Support and actively engage in practices of inclusion through Cultural and Linguistically Appropriate Services (CLAS) Standards. Other duties as assigned. For Behavioral health: Complete and send out daily log tracking at end of each day with information on all assessment appointments and requests Facilitate new clients being scheduled with Assessors for Intake/Assessment as quickly as possible by locating available staff and engaging supervisor when needed for immediate assistance Put intake and admit packets together for clients, keep necessary stock of packets. Provide copies for staff as needed Assist with processing and completing admissions For Medical: Follow up accordingly/promptly on client requests via phone/letter at the direction of medical practitioners. May coordinate with the involved parties on behalf of the patient Assist MA with coordination of Specialist referrals Coordinate care on behalf of clients with labs, behavioral health, and other specialty care providers Follow up with the pharmacy regarding prescriptions and provide information to client or provider as appropriate Educational / Work Experience Requirement High School Diploma or GED required Minimum of 1 year of experience in a medical and/or behavioral health office High School Diploma or GED required. AA or Bachelor’s degree preferred Certification from a licensed program as a Medical Assistant Minimum of 2 years of experience in a medical and/or behavioral health office Skills Requirement CPR/First Aid Certificate within 90 days of hire. Valid Fingerprint Clearance Card required. Possess and maintain a valid Arizona driver’s license. MS Office proficiency Experience with use of electronic medical record for documentation Bilingual- Spanish desired Strong interpersonal skills with an ability to work effectively with a wide range of people, teams, managers, supervisors, and vendors. Demonstrate excellent written and oral communication skills. Excellent customer service skills Must demonstrate critical thinking, problem-solving, and organizational and time management skills. Must be able to work well with others in a team approach. Understand the dynamics of substance use and demonstrate the ability to integrate the knowledge for practical application. Knowledgeable about the economic, educational, and social problems of Native Americans Knowledge of available community resources Experience working with Native American populations Physical Demands Able to sit, stand and walk with/without accommodations. Fair Labor Standards Act This position is considered to be Non‑Exempt and entitled to overtime pay for hours worked in excess of forty (40) hours per workweek for overtime pay provisions as provided by the Federal Fair Labor Standards Act (FLSA) and any applicable state laws.
