Client Services Specialist

Freeman Mathis & Gary, LLP is a nationally recognized Am Law 200 law firm with over 500 attorneys servicing clients in 40 offices and 22 states seeking a Client Services Specialist to join our Downtown Los Angeles office. This position is also responsible for creating and updating client abstracts that outline billing and reporting guidelines. This position reports to the Client Services Manager. The following set of success factors describes the characteristics of those who are successful in our Firm: Unpretentious, Approachable, Respectful, Team Oriented Accountable, Takes Ownership, Corrects Mistakes Organized, Timely, Confidential, Responsive (within 24 hours) Duties and Responsibilities Track the Firm’s client rates in Microsoft Excel, including expiration dates Create and update abstract summaries of client billing and reporting guidelines Serve as backup to the Client Services Manager Track and schedule pending rate update requests Assist with requests for information Other duties as assigned Education, Experience, and Skills 4-year college degree or equivalent experience working as a Paralegal or Legal Administrator with a high school degree required Significant administration experience working in an insurance-defense law firm or carrier required Working knowledge of insurance defense client rates Working knowledge of insurance defense billing and reporting guidelines Strong customer focused orientation Excellent organizational and problem-solving skills required for optimal workflow and efficiency Dedicated to providing customer service that meets or exceeds expectations Excellent communication and interpersonal skills Ability to multi-task, prioritize and work to meet tight deadlines Demonstrates a strong attention to detail, catches errors and corrects them quickly, and creates quality work products Ability to perform at high levels in a fast-paced, dynamic work environment in the office Adaptable to changing priorities and work demands Pro‑active, follows through with minimum direction, and displays initiative Exhibits a positive attitude and has confidence Physical Duties The position is based in a comfortable, climate-controlled office setting with handicap access. The position requires prolonged sitting, standing and computer work. You may occasionally be required to lift up to 10-15 pounds. The ability to consistently hear, understand, listen, and speak to meet the needs and standards of the practice. In addition, the position requires: The ability to sit upright and use a computer for eight hours or more a day five days a week is an essential duty of this position. The position often requires dealing with moderate to high stress. The ability to cope with and manage stress is essential. Typing at least 35 words per minute using both hands.
