Client Service Specialist (Property Owner Relations)

## **Job Summary**

We are seeking an experienced **Client Service Specialist (Property Owner Relations)** to manage and strengthen relationships with property owners throughout the residential leasing process.

The ideal candidate has **previous experience in U.S. residential real estate, leasing, or property management**, with a strong background in client relations, account management, customer retention, or property owner communication.

You will serve as a key point of contact for property owners, provide leasing performance updates, address client concerns, analyze property activity, and recommend strategies to improve leasing results and reduce vacancy.

Direct U.S. residential leasing experience is strongly preferred. Candidates with relevant U.S. real estate client management or account management experience may also be considered.

## **Key Responsibilities**

### **Client Relationship Management**

* Serve as the primary point of contact for assigned property owners.
* Build and maintain strong, long-term client relationships.
* Provide proactive updates regarding leasing activity and property performance.
* Respond promptly and professionally to client questions and concerns.
* Handle difficult conversations and resolve client issues effectively.
* Identify opportunities to improve client satisfaction and retention.

### **Owner Performance & Leasing Analysis**

* Schedule and conduct weekly performance calls with property owners.
* Present leasing metrics, market insights, and recommendations.
* Review lead volume, showing activity, applications, prospect feedback, days on market, and rental pricing.
* Analyze market conditions and comparable properties.
* Recommend pricing, marketing, or leasing strategies to improve results.
* Document owner decisions and follow up on action items.

### **Coordination & Reporting**

* Coordinate with Marketing, Leasing, and Operations teams to address client needs.
* Communicate owner requests and approved changes to internal teams.
* Maintain accurate client records in Airtable and company systems.
* Prepare owner summaries, reports, meeting notes, and performance updates.
* Track client requests, recommendations, and completed action items.

## **Requirements**

### **Experience**

* **Required: Previous professional experience in U.S. residential real estate, leasing, property management, or related real estate services.**
* Experience working directly with U.S. property owners, landlords, investors, or real estate clients.
* Strong background in client relationship management, account management, customer success, or client retention.
* Candidates without direct leasing experience may be considered if they have significant and directly transferable U.S. real estate client management experience.
* Experience handling client concerns, complaints, and retention-related matters.

### **Skills & Qualifications**

* Excellent verbal and written English communication skills.
* Strong professional phone presence and presentation skills.
* Confident leading client calls and meetings.
* Strong relationship-building, negotiation, and conflict-resolution skills.
* Understanding of U.S. residential rental and leasing practices.
* Comfortable reviewing leasing performance data and market trends.
* Strong analytical, problem-solving, organizational, and follow-up skills.
* Proficient in Google Workspace and CRM/client management systems.
* Experience with Airtable, Zillow, ShowMojo, or property management software is preferred.
* Reliable high-speed internet and professional remote work environment.
* Computer with webcam and reliable headset.
