Replenishment Task Coordinator

Outerspace is a new type of Ops Center for high growth brands. We do warehousing and fulfillment, customization and light manufacturing, product photography, and more. This is not an old school warehouse operation that has been doing things the same way for 30 years. We come from the brand side and have built and led operations for companies like Steve Madden, Prada and Nice Laundry.

The primary responsibilities of the Replenishment Task Coordinator at Outerspace is to carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Leads to assist the Supervisor in attaining overall department goals. They lead by example and assist the Supervisor and department by effectively planning and organizing work flow; promoting teamwork, training, problem solving and decision making.

They are collaborative, demonstrate excellent communication skills, and are detail oriented. A successful candidate will have the ability to make an impact by motivating and leading the team to meet goals and objectives.

We are seeking a proactive and detail-oriented Replenishment Task Coordinator to join the team. This role is responsible for coordinating and managing replenishment tasks within the warehouse operation to ensure inventory flow remains updated, organized, and aligned with outbound operational needs. The Replenishment Task Coordinator works closely with the Inventory Lead and Operations team to maintain replenishment aging under control, prioritize task execution, and support operational continuity in a fast-paced warehouse environment. The ideal candidate is highly organized, comfortable working under pressure, skilled with reporting tools and spreadsheets, and capable of maintaining strong communication across teams.

Reports to: Inventory Lead / Inventory Supervisor Compensation: $17.00 per hour

Responsibilities:

Daily Operations:

• Download replenishment reports every two hours to maintain updated operational visibility.
• Print, organize, assign, and direct replenishment tasks to warehouse associates.
• Monitor replenishment aging and prioritize older replenishment tasks before newer requests.
• Maintain replenishment queues clean, updated, and aligned with outbound operational priorities.
• Maintain constant communication with the Inventory Lead regarding replenishment status, risks, and operational needs.
• Support replenishment flow continuity to avoid operational interruptions or inventory shortages.
• Ensure replenishment tasks are completed accurately and within operational timelines.
• Assist with monitoring excluded orders or replenishment-related operational issues.
• Support outbound operations by ensuring inventory availability in pick locations.

Data & Reporting:

• Collect, organize, and analyze replenishment and operational data.
• Develop and maintain reports for operational KPI monitoring.
• Identify replenishment trends, operational gaps, and improvement opportunities through data analysis.
• Ensure analyzed data is accurate, complete, and consistent to support reliable operational decisions.
• Support root cause analysis and assist in developing effective operational solutions.
• Assist with inventory-related reporting and replenishment tracking activities.
• Utilize Excel and Google Sheets to maintain operational reports and task visibility.
• Support operational reporting accuracy and daily replenishment updates.

Operational Excellence:

• Support replenishment process compliance and operational discipline.
• Identify process improvement opportunities related to replenishment flow and task management.
• Maintain replenishment priorities aligned with operational requirements and customer needs.
• Support continuous improvement initiatives and operational organization standards.
• Reinforce compliance with SOPs, operational procedures, and warehouse standards.

Safety:

• Promote a safe and organized work environment following warehouse safety standards.
• Maintain clean and organized workstations and replenishment areas.
• Follow warehouse safety procedures and operational guidelines.

Team Collaboration:

• Maintain effective communication with Inventory Leads, Supervisors, and warehouse associates.
• Support operational coordination and follow-up activities with warehouse teams.
• Escalate operational concerns, delays, or replenishment risks when necessary.
• Promote teamwork and operational accountability within the replenishment process.

Qualifications and Education Requirements:

• High School Diploma / GED required.
• Experience in warehouse operations, replenishment, inventory control, or fulfillment preferred.
• Strong Excel and Google Sheets knowledge required.
• Comfortable using computers, printers, warehouse systems, and reporting tools.
• Experience with WMS, RF scanners, and warehouse technology preferred.
• Strong organizational skills, attention to detail, and sense of urgency.
• Ability to work under pressure in a fast-paced warehouse environment.
• Good communication skills and ability to work closely with operational leadership.
• Basic inventory knowledge and understanding of replenishment processes preferred.
• Proactive mindset with strong follow-up and task management skills.
• Bilingual (English/Spanish) preferred.
