Payroll Specialist

We are seeking a meticulous and proactive Payroll & Accounts Payable Specialist to drive financial administrative operations. In this dual-impact role, you will own the end-to-end weekly payroll cycle; from tracking and verifying employee hours to calculating specialized commissions and performance bonuses. On the AP side, you will manage vendor invoices with high precision, execute weekly payment cycles (ACH, checks, and credit cards) to maximize early-payment discounts, and maintain stellar relationships with external partners. Responsibilities

PAYROLL DUTIES:

• Time Track & Verify: Collect, review, and reconcile weekly hours for for all employees; various cycles

• Processing: Execute end-to-end payroll processing ensuring accurate calculation of wages, tax withholdings, and deductions.

• Commission & Bonuses: Calculate commissions or performance bonuses for the sales and installation teams based on completed projects.

• Compliance: Maintain accurate payroll records and ensure compliance with federal, state and local tax regulations.

• Inquiries: Serve as the primary point of contact for staff regarding payroll questions, wage verifications, and tax forms (W-2s/1099s).

ACCOUNTS PAYABLE DUTIES:

• Invoice Management: Receive, code, and match vendor invoices.

• Data Entry: Input invoices into the accounting software with high accuracy.

• Payment Cycles: Prepare and execute weekly check runs, ACH payments, or credit card disbursements while maximizing early-payment discounts where applicable.

• Vendor Relations: Maintain positive relationships vendors and suppliers, researching and resolving any billing discrepancies or statements.

• Reconciliation: Reconcile vendor statements and assist with month-end closing procedures related to AP.
