What We Can Achieve Together: The New York Division Executive Business Partner works closely with the New York Division Director and the New York Division Executive Team to provide strategic, substantive, operational, and administrative support. They will be responsible for providing direct support to the Division Director, the New York Executive Team, and may also occasionally support other Division teams as necessary. The Executive Business Partner employs high-level, sophisticated communications and thinking with multiple internal and external stakeholders. This position provides project management and administrative expertise to ensure the office of the New York Division Director and the NY Executive Team are efficient, productive, and operate at the highest levels of professionalism. They will work with multiple team members to maximize efficiency and coordination among multiple departments or operating units.
We're Looking for You: The Executive Business Partner will perform a variety of high-level administrative tasks, which may include communications, domestic and international travel arrangements, meeting logistics (including offsite meetings and retreats), event organization and support, reporting and tracking information and scheduling for the Division Director. They will provide proactive advice, recommendations, and schedule events (meetings, retreats, training etc.) related to the needs of the Division Director so that they are well prepared and one step ahead of what is needed. They will manage diverse tasks, analyze situations, evaluate alternatives, develop tools and processes, and implement solutions to improve effectiveness at the Division level as it impacts the Division Director and by extension the Division. The Executive Business Partner will work towards meeting strategic priorities by developing and coordinating plans and related tactics for meetings and special events, and by overseeing day-to-day tasks and operations for the Division Director. They will manage documentation, initiate complex processes, and serve as a key team member for the enhancement of systems and tools used by the team. Much of this will be manifested via project management of various initiatives. They will apply knowledge to managing organization support and planning communications related to the resources. They will provide operational support to the Division Director, developing slide decks and presentations, and reports, and analyzing key data to ensure efficient management. The Executive Business Partner will provide guidance in satisfying requirements based on extensive knowledge of policies and procedures. They will manage operational program guidelines by liaising with appropriate team members and modify processes to achieve results, improve workflow, and solve problems. The Executive Business Partner will work in close cooperation with the Executive Team, employees, trustees, donors, vendors, public agencies, and business relations providing guidance and direction.

Responsibilities & Scope:
- Act as a strategic partner to the Division Director in leadership and time effectiveness.
- Act independently, and in supervisor's stead as needed, and exercise independent judgement to identify and solve complex problems.
- Develop and implement new initiatives that will ensure department and organization-wide goals and strategies are achieved.
- Design and manage multiple projects as needed and identified, including directing work of team members, managing budgets, setting deadlines, and ensuring accountability.
- Maintain accountability for strategic goals and deadlines related to the Division Director, North America, and the Arlington Office.
- Schedule meetings including Executive Team meetings and retreats, develop agendas in cooperation with Executive Director and Chief of Staff, compile meeting notes and help develop strategies for effective meeting design.
- Project manage trustee and team members related meetings, as well as other events, on behalf of the Division Director.
- Ensure Division Director is well prepared for donor meetings and engagements in coordination with Development.
- Create high quality, sophisticated presentations, and related support materials for the Division Director.
- Ensure programmatic commitments, Conservancy policies and procedures, financial standards, and legal requirements are met and managed for compliance; decisions may bind the organization financially or legally.
- Maintain confidentiality and demonstrate the appropriate management of sensitive and emotionally charged information.
- May manage or participate in complex negotiations.
- Travel occasionally, working long and flexible hours, as needed.
- Work is diversified and may not always fall under established practices and guidelines.
- Bachelor's degree and 5 years related experience or equivalent combination, including 2 years providing direct administrative support to a senior manager.
- Experience managing and implementing multiple projects.
- Experience negotiating agreements.
- Experience coordinating tasks of others.
- Experience with current technology in relevant field.
- Experience working with a wide range of people, such as board of directors, donors, volunteers, and/or all levels of employees.
- Experience working with cross-functional teams.
- Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
- Ability to manage and implement complex processes and diverse activities.
- Ability to work in partnership with others in a collaborative role.
- AI savvy and though still learning, are willing and eager to learn how to best use AI thoughtfully and consistent with Conservancy guidelines.
- Comfortability with and ability to navigate technology overall.
- Advanced knowledge in current and evolving technology utilized by program; (PowerPoint, Outlook, Excel, Word, Mural, Miro, etc.).
- Demonstrated ability to conceive and write creatively for various audiences.
- Proficiency in interpreting guidelines and manipulating, analyzing, and interpreting data.
- Strong organization, planning, and problem-solving skills.
- Successful experience implementing strategic program goals.
- High degree of professionalism, sense of urgency and commitment to quality.
- Experience supporting the executive as a whole person and all facets of the job.
