Position Summary: The Procurement Contract Specialist serves as the operational liaison between Procurement and Legal, helping accelerate contract review, improve contract quality, and strengthen contract data governance across the enterprise. This role performs first-pass commercial and administrative review of sourcing agreements using company-approved standards and playbooks, coordinates and tracks Legal review, maintains consistent contract documentation and file naming, and captures required contract metadata in the enterprise contract repository. The Procurement Contract Specialist partners closely with Strategic Sourcing, Category Management, Legal, business stakeholders, and suppliers to improve visibility, prioritization, cycle time, and compliance throughout the contracting process. The role does not provide legal advice and escalates non-standard legal terms and risk decisions to Legal in accordance with established guidelines. Core Responsibilities: Serve as the primary day-to-day liaison between Procurement and Legal for sourcing and supplier contract workflow, status, documentation, and prioritization. Perform first-pass review of supplier agreements, statements of work, amendments, order forms, and related sourcing documents using approved Procurement and Legal contracting standards, templates, and playbooks. Identify and redline approved business and commercial terms that NeoGenomics seeks to preserve across agreements, such as payment terms, renewal provisions, termination rights, pricing protections, service-level commitments, and other pre-approved positions. Route legal issues, non-standard provisions, material deviations, and risk-based decisions to Legal for review and resolution; do not independently provide legal advice or approve legal risk. Partner with Procurement to assess business urgency, sourcing stage, financial impact, and operational need in order to prioritize agreements submitted for Legal review. Partner with Legal to maintain visibility to contract status, ownership, open issues, aging, next actions, and expected completion dates. Maintain a centralized contract tracker and provide routine reporting on contract volume, cycle time, aging, bottlenecks, pending actions, and other workflow metrics. Apply and maintain standardized contract naming conventions, version control, folder structure, and document retention methodology across Procurement-managed agreements. Ensure final executed agreements, amendments, exhibits, and supporting documentation are accurately stored in the designated contract repository and linked to the appropriate supplier and sourcing record. Extract, validate, and maintain required contract metadata, including supplier name, agreement type, effective date, expiration date, renewal terms, notice periods, contract value, payment terms, business owner, category, Legal owner, termination provisions, and other required data fields. Monitor upcoming expirations, renewals, termination-notice dates, and other key contractual milestones and communicate required actions to Procurement and business stakeholders. Support supplier and internal stakeholder follow-up related to contract comments, outstanding documentation, signatures, and next-step actions. Coordinate signature-ready documentation and support handoff to the approved electronic signature process once Legal and business approvals are complete. Identify recurring negotiation issues, contract exceptions, and process delays and recommend updates to playbooks, templates, intake requirements, and contracting workflows. Support implementation and ongoing administration of contract lifecycle management tools, repositories, workflow automation, dashboards, and reporting capabilities. Maintain confidentiality and handle sensitive commercial, legal, supplier, and company information in accordance with company policies and access requirements. Experience, Education and Qualifications: Bachelor's Degree in Business, Supply Chain Management, Legal Studies, Paralegal Studies, Finance, Operations, or related field preferred. Equivalent combination of education and relevant work experience may be considered. Paralegal certificate, contract management certification, or procurement-related certification is a plus but not required. Minimum of 3-5 years of experience in contract administration, contract management, procurement, strategic sourcing, legal operations, paralegal support, or a related business function. Experience reviewing commercial agreements and working from approved contract templates, clause libraries, or negotiation playbooks. Experience coordinating contract workflow between Procurement, Legal, business stakeholders, and external suppliers or service providers. Experience managing contract repositories, document control, metadata capture, and contract status tracking. Experience within healthcare, laboratory, biotechnology, pharmaceutical, medical device, or another regulated industry preferred. Experience with contract lifecycle management systems, e-signature platforms, Oracle Fusion Cloud, or comparable procurement/ERP systems preferred. Demonstrated success managing multiple concurrent agreements, deadlines, and stakeholder priorities in a fast-paced environment. Working knowledge of commercial contracting concepts and common supplier agreement structures, including master service agreements, statements of work, amendments, order forms, confidentiality agreements, and purchase-related terms. Ability to review and redline agreements against company-approved business positions, templates, and playbooks while recognizing when issues require escalation to Legal. Strong understanding of contract lifecycle processes, document control, version management, metadata governance, and repository administration. Exceptional attention to detail, organization, and follow-through, with the ability to maintain accuracy across high volumes of documents and data. Strong project management and workflow coordination skills with the ability to prioritize competing requests and drive timely next actions. Excellent written and verbal communication skills and the ability to work effectively with Legal, Procurement, business leaders, suppliers, and senior stakeholders. Strong judgment and discretion when handling confidential, commercially sensitive, or legally privileged information. Proficiency with Microsoft Office applications; advanced Excel skills and experience with workflow, reporting, or dashboard tools preferred. Ability to learn and administer contract lifecycle management, sourcing, ERP, and e-signature systems. Strong analytical and problem-solving skills with the ability to identify process bottlenecks, data-quality issues, and opportunities for standardization or automation.
