key objectives
The Paralegal supports the Legal Department by managing commercial lease documentation, administering lease obligations, and coordinating litigation and compliance-related activities. This role plays a critical part in ensuring the accuracy, organization, and timely execution of lease agreements and related legal processes across the portfolio.
primary responsibilities
lease management & documentation
Draft, review, and coordinate commercial lease agreements, amendments, and related documents for new and existing tenants
Maintain and update lease documentation across the portfolio, ensuring accuracy and version control
Abstract leases and summarize key terms, obligations, and critical dates
Track lease milestones including renewals, expirations, options, and notice requirements
Develop and maintain lease summary charts and dashboards for internal stakeholders

Monitor compliance with lease provisions and proactively manage deadlines and deliverables
Prepare and distribute tenant notices, including default, renewal, and compliance notifications
Partner with leasing, finance, and operations teams to ensure alignment on lease obligations
litigation & legal support
Maintain litigation files and support case tracking and document management
Assist in preparing discovery materials, including responses to interrogatories and document requests for attorney review
Coordinate bankruptcy filings and compile documentation for external counsel
financial & vendor coordination
Review, track, and process legal invoices in alignment with department budgets
Liaise with outside counsel and vendors to ensure timely billing and documentation
administrative & operational support
Coordinate calendars, meetings, and departmental communications
Manage legal correspondence, file organization, and document retention systems
Support continuous improvement of legal processes, tools, and tracking mechanisms
desired qualifications
Bachelor’s degree or Paralegal Certificate preferred
3+ years of paralegal experience, ideally in commercial real estate, leasing, or litigation
Demonstrated experience drafting and managing lease documents or comparable legal agreements
Strong knowledge of lease administration concepts and document lifecycle management
Proficiency in Microsoft Office Suite and PDF/document editing tools
Ability to manage high volumes of documents with precision
Effectively prioritize multiple deadlines in a fast-paced environment
Strong written and verbal skills with the ability to interface across departments
Ability to interpret lease terms and identify risks or inconsistencies
Works effectively with legal, leasing, finance, and external partners
