Here's a summary of responsibilities:

Under the direction of the CSOPTC Assoc. Director and with broad latitude for the exercise of independent judgement and initiative, the Operations Manager is a key member of the Colorado Springs Olympic & Paralympic Training Center (CSOPTC) leadership team. The Manager will oversee the efficient and effective operation of the CSOPTC Operations team, including all aspects of the department (organization, leadership and management, and implementation of policy) and as it relates to program management needs for NGBs, Athlete Center Front Desk and incoming camps. The Manager will work in collaboration with Olympic and Paralympic Sport Performance in creating a comprehensive and strategic occupancy plan for the CSOPTC.

Here’s how you’ll have an impact:

• Provide direct supervision and mentorship to the Operations staff. Oversee the recruitment, selection, training, and professional development for team members. Conduct employee evaluations on a quarterly basis. Oversee staff schedules to ensure adequate coverage at the front desk, as well as schedule monthly team meetings. Approve time sheets and manage staff requests for time off.
• Execute and evaluate programs that support the high-performance needs of National Governing Bodies and Sport Performance. Distribute workload among staff. Provide customer evaluations and manage compilation of results, as well as strategies for addressing areas in need of improvement.
• Work closely with the CSOPTC Associate Director and leadership team to create and monitor operational strategy and long-term goals.
• Actively manage the planning, development, and implementation of internal operating systems and procedures to facilitate delivery of services for all users and key stakeholders. Update and refine departmental systems and strategies for increasing efficiencies and cost savings.
• Ensure that facility and scheduling policies are properly communicated and aid staff to ensure that users adhere to policies.
• Oversee the maintenance and updating of data within scheduling software. In addition to standard and online reservations, this includes resource details, building hours, holiday information, and client data.
• Serve as primary liaison to key internal partners including dining and facilities to ensure user satisfaction and continuous process improvements.
• Oversight of janitorial contract and execution
• Approve OPTC programming and the dissemination of schedules for all programs on an annual basis to the Operations staff. Develop and maintain communication with NGB program coordinators/coaches in the planning phase to ensure all program requirements are met.
• Determine master schedule for each calendar year, based on requests included in the NGBs’ High Performance Plans by working directly with Sport Performance leadership. Update master schedule throughout the year as requests are submitted to the OPTC and track activity for annual reports.
• Actively participate in the Resource Allocation Process per Sport Performance as it relates to OPTC usage on an annual basis. Provide input and data for OPTC Resource Allocation as needed.
• Respond to inquiries from prospective and returning users regarding the use of facilities. Continually update information on policy and rate structure.
• Work to ensure data integrity is upheld by managing all information in department database. Administer projects and technology upgrades and assist in software improvements as needed.
• Maintain the accuracy of all program records, including program roster updates, sports facility/meeting schedule adjustments, housing changes, and transportation requests. Schedule OPTC complex meeting rooms for programs, USOPC divisions, and outside users as needed.
• Support the coordination of program requests for training specials and special guests (housing credential, etc.) as well as details for VIPs as required or requested. Distribute updates to Service Providers as necessary.
• Oversee and maintain the Operations budget for the department, as well as contribute updates on annual budget forecasts for Operations and User Fee budgets.
• Utilize various USOPC software to process invoices, route contracts, generate expense reports, perform HR-related duties, and pull reports related to Operations.
• Perform other duties as assigned, needed, or requested, including but not limited to, serving on committees and work teams, overseeing the 24-hour on-call first response coverage, preparing incident and injury reports in cases of emergencies, and resolving difficult and sensitive inquiries and complaints from CSOPTC users.
• Offer support and assist the CSOPTC Associate Director on various projects as needed.

Here are the skills and experience you'll need to be effective:

• Bachelor’s Degree or equivalent work experience
• Master’s Degree in Sports Administration or Business preferred
• 5 years of full-time experience in housing, program management, or closely related field with at least 3 years in a leadership role
• Event/operation management experience at the USOPC, an NGB, or in a corporate hospitality or collegiate environment
• Experience in managing overall operations in housing facilities, preferably in resource and occupancy management and revenue generation
• Knowledge of property management systems
• Knowledge of customer relationship management systems; experience with Salesforce preferred
• Experience in or a strong familiarity with Olympic/Paralympic Movement, outside sports organization, or collegiate environment is highly desirable
• Excellent interpersonal, organizational, planning, communication, and problem-solving skills, with an emphasis on commitment to customer service
• Excellent written and verbal communication skills
• Ability to work under pressure and handle multiple tasks requiring a high degree of attention to detail
• Ability to work autonomously within a team of skilled professionals
• Strong computer skills, including proficiency with Microsoft applications including Word, Excel, Outlook, Access, and PowerPoint.

Here's some more information you need to know:

• Hiring pay range $70,000 - $75,000 per year.
• This Full-Time, Exempt position is intended to work 40 hours per week.
• Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 15% target. The USOPC may change or eliminate this program at any time at its sole discretion.
