Minibar Operations Supervisor
Reports to: Minibar Cluster Manager/Food and Beverage Director
Overall Objective:
Supervision and operation of the day-to-day In-Room Refreshment Center (Minibar department) operations at a large upscale hotel in a city, as well as training and supervision of staff in following operational best practices, SOPs and use of our computer system. Full responsibility for assuring that all guests have a positive experience from the in-room refreshment center, resulting in high utilization and revenues.
Job Requirements:
Supervisors must be authorized to work in the United States, speak English, be familiar with reading and understanding computer-generated reports, have above mid-level math skills, and have a sense of order, alertness, and attentiveness. Must have excellent supervisory and communication skills. Must be able and willing to work 5 days a week including weekend days and Holidays. Must be physically fit, capable of standing, walking, and bending for long periods, and be able to push/pull a fully stocked cart and lift 35-40 lbs. Must be able to use email and complete mid-level data entry on Excel spreadsheets. They should be able to complete repairs on Minibars. ALL CANDIDATES MUST BE ABLE TO SATISFACTORILY PASS A BACKGROUND CHECK AND DRUG TEST TO BE ELIGIBLE FOR EMPLOYMENT.
Specific Responsibilities:
Daily Operations:
- Run and action daily reports from Minibar's Point of Sale system.
- Allocate daily work responsibilities to staff.
- Assume refill responsibilities by restocking minibars if needed.
- Monitor system and staff performance.
- Receive, store, and manage Minibar product.
- Labor expense control via efficient weekly scheduling.
- Bar maintenance and troubleshooting.
- Train staff to open and close the Minibar department on off and vacation days.
- Follow all specified health and safety guidelines at workplace.
Financial Reporting:
- Daily revenue reconciliation.
- Monitor and minimize allowances and occlusions.
- Maintain and update spreadsheets with sales, labor, accounting and inventory numbers.
- Send time sheets to Minibar HR in a timely manner.
- Provide financial reporting to Minibar Systems and hotel in the form of weekly and monthly reports.
- Update Minibar Management System database.
Liaison Work:
- Facilitate communication between Hotel and Minibar management.
- Respond to specific questions from the hotel Front Desk and Accounting staff, and your Manager in a timely manner.
- Participate in knowledge sharing via conference calls.
Minibar Operations Supervisor Daily Responsibilities:
- Obtain Detail Ticket Report (PMS posting journal)
- Run Maintenance Report, then comms test for bars on the report
- Open refill for the attendants run their reports
- Sync handhelds and make sure attendants have everything they need for the day
- Attend Daily Ops Meeting
- Track down bars on maintenance report
- Run Daily Ticket Report and post charges to guest folios which were not posted during night audit
- Do revenue reconciliation and update Workbook
- Monitor attendants' status throughout the day
- Monitor Maintenance Report throughout the day
- Do occlusions 2 or 3 times each day
- Check Transfer Audit for large disputes
- Spend 1- 2 hours per day on bar maintenance
- Throughout the day, handle guest requests and any issues that occur in a timely manner
- After attendants are done for the day, close refill and sync handhelds
- Check to see if all occlusions were posted
- Run Detail Ticket report and ensure all transactions posted to PMS
- Organize storeroom at the end of the day
Ongoing:
- Put together minibar product order Monitor par levels
- Reconcile minibar product delivery with order and invoices
- Update Workbook : Refill Analysis and invoices
- Track Expired product
- Spend time with Attendants on floors
- From time to time, meet with Front desk to discuss merchandising the minibars and guest disputes
- Keep track of spare parts
- Keep storeroom clean
