• Software is QuickBooks - ideal but not required
• Small Accounting team so needs to work well with others
• ATTENDANCE AND TIMELINESS ARE HUGE HERE

Key Responsibilities- main focus is on B2B Collections w/strong experience in cash applications.

Collections

• Manage and actively monitor customer accounts to ensure timely payment
• Perform outbound collection calls and email follow-ups on past-due balances
• Maintain consistent communication with customers to resolve payment issues
• Work cross-functionally with Sales and Facility Managers to resolve disputes
• Negotiate payment arrangements and escalate delinquent accounts when needed
• Maintain accurate documentation of all collection activities
• Review AR aging reports and provide status updates to leadership

Cash Application

• Apply daily cash receipts (ACH, wires, checks, credit cards) accurately and timely
• Reconcile cash postings with bank activity and resolve discrepancies
• Investigate and clear unapplied or misapplied payments
• Provide adjustments, potential credit memo information, and refund request to staff accountant
• Ensure proper documentation and audit trail for all transactions

Additional Responsibilities

• Generate and send customer invoices and statements
• Maintain accurate customer account records
• Support month-end close and account reconciliations
• Assist with audits and reporting requirements

Qualifications

• 2+ years of Accounts Receivable experience, with a focus on collections
• Strong experience in cash application and payment reconciliation
• Proficiency in ERP/accounting systems (QuickBooks)
• Strong Excel skills (VLOOKUPs, pivot tables, data analysis)
• Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
