Position Overview

This role is ideal for someone with commercial property management experience who understands the day-to-day operation of retail, office, industrial, or mixed-use properties and can provide high-level administrative and operational support to the Executive Team.

This is more than an administrative position. The ideal candidate will serve as an extension of the Executive Team by helping organize priorities, coordinate property operations, manage follow-ups, and ensure that important issues are addressed promptly and thoroughly. They should be able to review emails, tenant requests, vendor proposals, maintenance reports, inspection findings, construction updates, lease-related correspondence, and project documentation and determine what needs to happen next, who is responsible, what information is missing, and what requires executive attention.

The successful candidate will be highly organized, proactive, detail-oriented, and capable of managing multiple priorities across a portfolio of commercial properties while maintaining professionalism and confidentiality.

What You Will Do

Responsibilities include, but are not limited to:

• Provide direct executive and operational support to the Executive Team.
• Track tenant requests, maintenance issues, capital improvement projects, vendor contracts, inspections, and outstanding follow-up items.
• Review emails and correspondence to identify action items, assign responsibilities, and ensure timely completion.
• Coordinate with property managers, maintenance personnel, contractors, vendors, tenants, architects, engineers, consultants, and municipal agencies.
• Assist with tenant improvement projects, capital projects, property renovations, permitting, inspections, and project closeout.
• Organize and maintain property records, contracts, warranties, permits, service agreements, insurance certificates, inspection reports, and project documentation.
• Prepare meeting agendas, meeting minutes, follow-up lists, executive reports, and property status updates.
• Monitor project timelines, budgets, vendor performance, and completion schedules.
• Help coordinate annual property inspections, preventative maintenance programs, life safety requirements, and compliance deadlines.
• Assist with lease administration by tracking lease obligations, tenant notices, insurance requirements, rent commencement dates, renewal deadlines, and critical lease dates.
• Coordinate with accounting regarding vendor invoices, tenant billings, reconciliations, and project-related expenses.
• Follow up with vendors and contractors to ensure work is completed accurately, on schedule, and within budget.
• Help ensure that important operational issues do not fall through the cracks.

What We Are Looking For

We are looking for someone who:

• Has experience in commercial property management, commercial real estate, facilities management, or construction administration.
• Understands how commercial properties operate and how maintenance, tenant relations, leasing, capital improvements, and property operations work together.
• Can prioritize competing demands while supporting the Executive Team.
• Is proactive and anticipates issues before they become problems.
• Can independently manage follow-up items with minimal supervision.
• Has exceptional organizational and time management skills.
• Is comfortable communicating with tenants, vendors, contractors, property managers, ownership, and executive leadership.
• Can draft professional emails, notices, meeting summaries, and reports.
• Understands contracts, service agreements, vendor proposals, and project documentation.
• Recognizes when an issue could impact tenant satisfaction, property operations, budgets, legal compliance, or asset value.
• Maintains confidentiality while handling executive-level information.
• Bilingual in Spanish a plus

Preferred Qualifications

• Three or more years of commercial property management or commercial real estate experience.
• Experience managing retail shopping centers, office buildings, industrial properties, or mixed-use developments.
• Familiarity with CAM reconciliations, tenant improvement projects, lease administration, vendor management, and preventative maintenance programs.
• Experience coordinating construction or capital improvement projects.
• Knowledge of commercial leases, ADA requirements, life safety systems, and building maintenance.
• Experience using Microsoft Office, Excel, Outlook, Adobe Acrobat, property management software , and project management platforms.
