Cold Email Specialist - Deliverability, Campaign Operations & Client Success

About the Role

At Pavago, one of our clients is hiring a Cold Email Specialist to own cold email campaign performance, deliverability, client success, and day-to-day campaign operations.

This is not a passive account management role. You’ll be directly responsible for ensuring outbound campaigns reach inboxes, generate responses, perform consistently, and deliver strong client outcomes .

You’ll manage a portfolio of active clients while working closely with the founder, outreach specialists, developers, and operations teams to troubleshoot issues, optimize campaigns, and improve the systems behind outbound delivery.

This role is ideal for someone who understands cold email beyond sending sequences — including deliverability, domain reputation, warm-up, DNS authentication, inbox placement, copywriting, campaign optimization, and client retention .

What You’ll Own

Cold Email Campaign Performance

• Own campaign performance across multiple client accounts
• Diagnose and improve underperforming campaigns
• Monitor inbox placement, reply rates, and overall campaign health
• Troubleshoot:
• Deliverability issues
• Spam placement
• Domain reputation problems
• List quality concerns
• Low reply rates
• Campaign performance drops
• Review and optimize subject lines, messaging, sequences, and personalization
• QA campaigns before launch
• Continuously test and improve outbound performance

Deliverability & Email Infrastructure

• Manage and monitor sending domains and inbox reputation
• Oversee email warm-up and sending health
• Troubleshoot inbox placement and spam issues
• Work with SPF, DKIM, DMARC, and DNS configurations
• Identify domain or infrastructure problems before they impact campaigns
• Maintain strong deliverability practices across client accounts
• Collaborate with developers and technical teams on infrastructure improvements

Client Success & Retention

• Serve as the primary point of contact for approximately 20–30 active clients
• Lead client check-ins and campaign performance conversations
• Clearly communicate results, challenges, and recommended improvements
• Manage expectations and maintain strong client relationships
• Identify at-risk accounts proactively
• Resolve campaign issues before they become retention problems
• Take ownership of client satisfaction and campaign outcomes

Cold Email Copywriting & Optimization

• Write and refine cold email copy personally
• Develop compelling subject lines, hooks, CTAs, and sequences
• Balance personalization with scalable campaign execution
• Test different messaging angles based on audience and offer
• Analyze performance data and iterate accordingly
• Optimize for reply rates, positive responses, and conversions

Campaign Operations & QA

• Launch and quality-check outbound campaigns
• Ensure targeting, copy, sequences, sending settings, and infrastructure are configured correctly
• Maintain organized campaign tracking and documentation
• Monitor campaign health after launch
• Ensure operational issues are identified and resolved quickly
• Maintain consistent delivery standards across client accounts

Processes, SOPs & Scaling

• Build and improve cold email SOPs, playbooks, and documentation
• Maintain structured workflows for campaign execution and troubleshooting
• Track SLAs, campaign metrics, client health, and operational performance
• Identify recurring problems and create systems to prevent them
• Help improve processes as client volume grows

AI, Automation & Technical Systems

• Use ChatGPT, Claude, and AI tools to improve campaign execution and operational efficiency
• Work comfortably with APIs, automations, and outbound workflows
• Identify opportunities to automate repetitive campaign tasks
• Collaborate with technical teams on system improvements
• Troubleshoot technical issues independently when possible

Must-Have Experience & Skills

• Hands-on experience within a cold email agency, lead generation company, outbound sales environment, or similar business
• Strong practical knowledge of:
• Cold email strategy
• Email deliverability

• Outbound infrastructure
• Experience working with SPF, DKIM, DMARC, and DNS
• Proven ability to troubleshoot spam and deliverability problems
• Strong cold email copywriting and messaging skills
• Experience optimizing low-performing outbound campaigns
• Strong understanding of campaign metrics and performance analysis
• Experience communicating directly with clients
• Strong written and verbal English
• Comfortable managing multiple client accounts simultaneously
• Practical experience using AI tools such as ChatGPT or Claude
• Technical understanding of APIs, workflows, and automation
• Ability to operate independently in a fast-moving startup environment

Nice to Have

• Experience with Instantly, Smartlead, Clay, Apollo, Lemlist, Outreach, or HubSpot
• Familiarity with Zapier, Make, webhooks , or similar automation systems
• Experience scaling outbound infrastructure
• SaaS, agency, or lead-generation background
• Experience managing large numbers of sending domains and inboxes
• Experience building cold email SOPs and operational playbooks
• Previous responsibility for client retention or churn reduction

What a Typical Day Looks Like

You may start by reviewing campaign dashboards, inbox health, and client performance, then troubleshoot a deliverability issue, rewrite an underperforming sequence, QA a new campaign, and join client calls to discuss results.

Throughout the day, you’ll coordinate with outreach and technical teams, monitor domain reputation and warm-up systems, resolve campaign issues, and improve operational documentation.

In short: you own the health, performance, and client success of cold email campaigns from infrastructure through execution.
