Job Summary:
The ODHR Communications & Systems Coordinator advances Front Range Community College's strategic priorities by turning complex Organizational Development and Human Resources (ODHR) information into clear, timely, accessible, and actionable communications. The position serves as a strategic communication thought partner to the Vice President and ODHR leaders, maintains an integrated communication calendar, recommends the most effective channels for each audience, and develops coordinated communication packages for major initiatives, policy and process changes, and employee programs.
The position also establishes a consistent process for gathering departmental highlights, accomplishments, challenges, risks, progress updates, and emerging needs. It synthesizes that information into concise executive briefings and college facing updates so ODHR leadership can identify trends, ask informed questions, coordinate support, and clearly communicate the department's institutional impact. This work is information synthesis and communication support; it does not replace departmental project ownership or ODHR data analytics.
In addition, the Coordinator provides limited college level coordination for shared ODHR platforms, digital content, and forms. Functional ODHR teams remain the subject matter experts and process owners for their respective PageUp modules. This position coordinates cross-functional issues, supports user guidance and content consistency, routes enterprise level requests through established governance, and partners with IT and other stakeholders to promote secure, accessible, and efficient digital practices.
The ideal candidate is an exceptional writer and synthesizer who exercises sound judgment, protects confidential information, builds trusted relationships across functional areas, and can move fluently between strategic communication, executive briefing, and practical systems coordination. The position requires regular on campus presence and travel among FRCC locations, with occasional remote work consistent with College expectations.

Duties & Responsibilities:
ODHR Communication Strategy, Planning & Quality Assurance
- Develop and maintain an integrated annual ODHR communication strategy and calendar across Talent Acquisition, HR Operations, Employee Relations, Learning & Development, Organizational Development, and other ODHR functions.
- Advise the Vice President and ODHR leaders on audience, timing, tone, sequence, and channel selection, including when targeted outreach, intranet content, presentations, or other methods are more effective than broad email distribution.
- Create coordinated communication packages for major ODHR initiatives and changes, including key messages, leader guidance, and supporting resources.
- Translate complex HR policies, guidelines, practices, system changes, and operational information into plain language content that is accurate, concise, useful, and appropriate for varied employee groups.
- Collaborate with subject matter experts (SMEs) to ensure communications are accurate, compliant, accessible, and relevant to all employee groups; applying an HR, legal, confidentiality, accessibility, and inclusive-audience lens.
- Maintain a consistent ODHR voice and presentation standard while coordinating with College Communications and other partners to align with institutional standards and prevent duplication, conflicting messages, or audience fatigue.
- Evaluate communication effectiveness through available engagement information and stakeholder feedback, and recommend improvements.
Executive Information Gathering, Synthesis & Reporting
- Establish and manage a consistent monthly process for gathering departmental highlights (i.e., accomplishments, challenges, risks, progress against priorities, and support needs) from ODHR leaders and designated contributors.
- Review updates, reports, and meeting notes to identify key themes, risks, dependencies, and issues requiring leadership attention.
- Synthesize information into concise executive summaries, briefing materials, leadership meeting updates, and institution facing impact reports for the Vice President.
- Transform ODHR leadership meeting notes into decision-oriented summaries that clearly identify key discussion points, decisions, ownership, and follow-up items without assuming responsibility for managing departmental projects.
- Maintain organized source records, editorial workflows, and recurring reporting schedules so information is current and available when requested.
- Partner with the HR Data Analyst and functional leaders to accurately communicate approved metrics and findings; this position does not own source system reporting, statistical analysis, or departmental data governance.
Digital Content, Forms & ODHR Platform Coordination
- Coordinate shared digital content and cross-functional platform activities, working with functional teams and SMEs who manage their respective business processes.
- Coordinate college-level questions, content updates, notifications, user guidance, and cross-module issues in line with Colorado Community College System (CCCS) governance and processes.
- Maintain and organize ODHR intranet content ensuring that employees can readily locate accurate, current, and accessible information and resources.
- Develop and maintain standard forms and templates in partnership with process owners and campus stakeholders, ensuring consistency, accessibility, security, and a positive user experience.
- Coordinate issue resolution with functional leaders, IT, enterprise contacts, and vendors as appropriate; document decisions, changes, and user-facing impacts.
- Support development of cross-functional job aids and communications for platform changes while functional leaders retain responsibility for specialized process training and configuration decisions.

- Project & Workflow Coordination: Manages recurring communication and reporting cycles, dependencies, approvals, version control, and deadlines across multiple contributors.
- Digital Fluency & Systems Thinking: Understands how digital platforms, forms, workflows, content, and user experience connect. Learns tools quickly and identifies efficient, compliant approaches.
- Accessibility & Inclusive Communication: Creates content and digital resources that consider accessibility standards, varied employee groups, cultural context, and equitable access to information.
- Attention to Detail & Quality Assurance: Verifies facts, audiences, links, dates, approvals, formatting, accessibility, and message consistency before publication.
- Discretion & Confidentiality: Recognizes sensitive employment and leadership information, limits access appropriately, and exercises sound discretion in drafting, storing, and distributing content.
- Cultural Competency: Designs workflows/processes in HR software platforms that create synergy between workflows and college priorities. Troubleshoots technical issues related to HR systems and identifies potential process improvements.
Minimum Qualifications:
- Bachelor's degree in communications, public relations, journalism, organizational communication, human resources, business, public administration, or a related field.
- Two years of professional experience in internal communications, executive communications, HR communications, digital content, or closely related work.
- Demonstrated professional writing, editing, and information synthesis experience, including translating complex material for varied audiences.
- Experience managing communication calendars, multi-contributor review processes, or digital content.
- Experience using collaboration, presentation, intranet, content-management, forms, or workflow tools.
- Demonstrated experience HRIS.
- Sound judgment with confidential information.
Preferred Qualifications:
- Ability to communicate effectively and write without grammatical/spelling errors in Spanish.
