We are seeking a detail-oriented, reliable Accounts Receivable & Invoicing Specialist to join our Honolulu team. In this role, you will manage daily customer invoicing, billings for freight and warehousing services, payment processing, and balance collection. The ideal candidate will have prior accounting experience—preferably in transportation, warehousing, or freight forwarding—and strong attention to detail to ensure complex freight rates and warehouse handling charges are billed accurately and on time.

Key Responsibilities

• Invoicing & Billing: Generate and send daily customer invoices for freight transportation, air freight shipments, dry and cold storage warehousing fees, and related logistics services.
• Rate Verification: Review shipping orders, bills of lading (BOLs), delivery records, and warehouse logs to ensure rates, accessorial fees, and fuel surcharges align with customer contracts and tariff schedules.
• Payment Processing: Process incoming payments (ACH, checks, credit cards) and accurately apply receipts to appropriate customer accounts.
• Accounts Receivable & Collections: Monitor aging reports, conduct timely follow-ups on past-due accounts via email and telephone, and resolve balance discrepancies professionally.
• Account Reconciliation: Reconcile customer accounts regularly and partner with customers to resolve billing inquiries, weight/piece discrepancies, or chargebacks.
• Collaboration: Work closely with customer service, dispatch, and warehouse teams across our Honolulu facilities to verify billable service items.
• Reporting: Prepare weekly/monthly AR aging summaries and assist the accounting team with month-end closing tasks as assigned.

Qualifications & Requirements

• Experience: 2+ years of professional office experience. We will train the right applicant
• Education: Associate degree in Accounting, Finance, or Business Administration preferred (high school diploma with relevant experience accepted).
• Software Skills: Proficiency in accounting software (e.g., QuickBooks, Dynamics, or industry-specific logistics ERP systems) and Microsoft Excel.
• Attention to Detail: Excellent numerical accuracy and organizational skills to verify complex freight charges, weights, and storage metrics.
• Communication: Professional written and verbal communication skills with a strong customer-service focus when handling billing discussions.
• Location: Must be based in or near Honolulu, HI, and eligible to work in the U.S.
