Invoice Resolution /Site Coordinator
3 Months (Temp to Perm)

Position Summary
Responsible for resolving unmatched invoices, purchase order discrepancies, and payment exceptions while supporting daily office/site operations. Works closely with Buyers, Accounts Payable, Receiving, vendors, and department managers to ensure timely invoice processing and PO closure.

Responsibilities

• Review and resolve invoices that do not match POs or receiving records.
• Investigate pricing, quantity, receiving, and vendor discrepancies.
• Work with Buyers and Accounts Payable to resolve invoice exceptions and payment holds.
• Communicate with vendors regarding invoices, documentation, and payment status.
• Monitor open POs and maintain accurate records and reports.
• Support month-end/year-end close activities.
• Manage the daily operations of a solo-person site and provide contracted office services.
• Perform copy, print, scanning/imaging, mail, hospitality, and related office support services.
• Operate PCs, copiers, multifunction devices, imaging equipment, mail equipment, and other office technology.
• Process, sort, receive, and distribute incoming and outgoing mail and packages.
• Support shipping and receiving activities as required.
• May provide courier, reception, switchboard, and front-office support.
• Coordinate conference rooms and assist with A/V equipment and resource management.
• Manage daily operations at a solo-person site.
• Provide copy, print, scanning/imaging, mail, shipping/receiving, and hospitality services.
• Operate PCs, copiers, multifunction devices, and mail/imaging equipment.
• Support conference room coordination, A/V equipment, inventory, work orders, and facility requests.
• Maintain strong customer relationships and meet established service levels.

Requirements

• High school diploma/GED required; Associate degree preferred.
• 1+ year of related experience; 2+ years in AP, Purchasing, Procurement, Finance, or Supply Chain preferred.
• Customer-facing experience required.
• Experience with purchase orders and invoice processing.
• Basic technical aptitude and Microsoft Office/Excel skills.
• Strong attention to detail, communication, customer service, and problem-solving skills.
• Ability to work independently in a solo-person site environment.

Preferred: Healthcare/hospital experience and knowledge of ERP systems such as Lawson, Workday, Oracle, SAP, or PeopleSoft.
