We are seeking an experienced and highly organized Administrative Assistant/Bookkeeper to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where tasks are completed swiftly and accurately. Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems, handle incoming calls, and provide excellent customer support with a friendly, helpful attitude.
- Maintain accurate records through filing, proofreading, and updating databases using Microsoft Office, QuickBooks, and other office software.
- Coordinate calendar management, schedule appointments, and organize meetings for team members.
- Assist with office management tasks such as creating and processing office documents, and maintaining a clean, organized workspace.
- Handle basic invoicing, statements, and receivables.
- Provide clerical support including typing correspondence, proofreading documents, and managing confidential information with discretion.
Skills
- Proven experience in office management, customer services oriented, or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent computer literacy with the ability to quickly adapt to new software or systems.
- Strong multitasking abilities with effective time management to prioritize tasks efficiently.
- Exceptional phone etiquette skills for handling customer inquiries and providing support over multi-line phone systems.
- Experience in QuickBooks or similar platforms.
